Work Schedule:
Monday - Friday, 9:00 AM to 6:00 PM (EST)

Position Overview:

This is a hybrid role combining the responsibilities of a Personal Assistant and Executive Assistant. As the Executive & Personal Assistant to the CEO, you'll act as a force multiplier, ensuring the CEO can focus on high-value work by managing his calendar, inbox, travel, personal logistics, and administrative needs across multiple ventures. You'll also provide light-touch operational support to his real estate business and assist with various ad-hoc requests.

You must be tech-savvy, highly organized, and comfortable making decisions independently, especially as the CEO is often unavailable (in clinical sessions Monday through Wednesday). This is a true partnership role for someone who thrives on taking ownership, anticipating needs, and creating calm from chaos.

Key Responsibilities:

Personal and Travel Management:

  • Act as the single point of contact for the CEOs personal life (appointments, reservations, gifts, errands).
  • Manage complex weekly travel across business and personal domains (flights, hotels, ground transport, detailed itineraries).
  • Coordinate with household and personal vendors to maintain a seamless lifestyle rhythm.


Calendar, Email, and Communication Oversight:

  • Own and manage three Google Calendars across personal and business schedules.
  • Triage, organize, and respond to the CEOs Gmail inbox to ensure urgent matters are addressed and inboxes are kept to zero.
  • Draft responses and brief the CEO with clear summaries between clinical appointments.


Administrative Support for Business Ventures:

  • Provide light-touch administrative support to Oak Street Capital (a real estate investment venture).
  • Maintain property and SOP databases (Airtable).
  • Track bills, vendor communication, and property documentation.
  • Support ad-hoc admin requests for other businesses (e.g., document formatting, file organization).


Qualifications:

  • Bachelor's degree.
  • Minimum 5 years of experience as an Executive Assistant or Personal Assistant supporting C-level executives.
  • Proven ability to manage calendars, email communications, and logistics independently.
  • High-level proficiency with Google Workspace (Gmail, Calendar, Drive); experience with Acuity and Airtable strongly preferred.
  • Excellent written and spoken English.


Nice-to-Haves:

  • Prior experience supporting a founder, CEO, or high-net-worth individual.
  • Background in real estate or property management.
  • Experience coordinating with household or personal vendors.
  • Familiarity with productivity tools and CRM systems.
  • Past work with a U.S.-based executive or company.
