Key responsibilities:

Thrive Pet Healthcare is excited to add a Construction Coordinator to our growing team!

Job Summary: 

The Construction Administrative Coordinator will support the Real Estate & Construction team with a focus on commercial veterinary clinic construction. This role will be responsible for document management, vendor coordination management, and system support with Workday. The ideal candidate has prior experience in commercial construction, strong organizational skills, and thrives in a fast-paced, multi-project environment.

Responsibilities:
· Provide day-to-day administrative support to the Construction team managing new
builds, remodels, and expansions of veterinary hospitals.
· Prepare, organize, and maintain construction documentation including contracts,
permits, insurance certificates, change orders, and closeout documents.
· Use Workday to create and track purchase orders, process invoices, and support
budget reporting.
· Assist in coordinating schedules, meetings, and communication between
construction managers, internal departments, and external vendors/contractors.
· Track project milestones, ensure deadlines are met, and assist with reporting metrics
and status updates.
· Communicate project expectations clearly to team members and stakeholders.
· Proactively manage changes in process, identify potential risks, and develop
contingency plans.
· Manage and support compliance with internal policies, regulatory requirements, and
construction standards.
· Manage and support ongoing process improvements and participate in team
initiatives that promote better communication and alignment across projects.
· Manage and coordinate meetings, prepare agendas, and capture key action items related to project progress. · Manage and execute the preparation of RFPs, vendor onboarding packages, and contract tracking
Qualifications:
· Associate’s or Bachelor’s degree in Business Administration, Construction
Management, Real Estate, or related field (or equivalent experience).
· 3+ years of experience in an administrative role within commercial construction,
preferably in healthcare, retail, or multi-site environments.
· Hands-on experience with Workday (finance/procurement modules).
· Experience with Visual Lease or a similar lease administration platform.
· Strong computer skills including Microsoft Office (especially Excel and Outlook).
· Excellent attention to detail, communication, and organizational skills.
· Ability to work both independently and collaboratively across multiple teams.
· High level of discretion when handling sensitive and confidential information.
Preferred Qualifications:
· Associate’s or Bachelor’s degree in Business Administration, Construction
Management, Real Estate, or related field.
· Familiarity with construction scheduling and project tracking tools (e.g., Smartsheet,
Procore, etc.)
· Experience working with veterinary, medical, or retail construction projects is a plus.
