Your opportunity

Looking to use your administration skills to make a meaningful impact?

As our Donations Administrator, you’ll be the engine behind the seamless processing of donations that help fund Mission Australia’s vital work across the country.

In this pivotal role, you’ll be responsible for accurately managing incoming donations from web and mail, navigating a range of platforms and systems, and ensuring our financial and supporter data is reliable and up to date. You’ll also be the friendly, efficient first point of contact for donation queries, keeping our valued stakeholders informed, acknowledged and appreciated.

Your key responsibilities will be to:

  • Process and attribute donations from online, mail and third-party platforms accurately and in a timely manner.
  • Manage and action donation-related transactions including refunds, chargebacks, cancellations and bank deposits.
  • Monitor the donor administration mailbox, responding to enquiries promptly and ensuring high-quality supporter service.
  • Liaise with internal teams to resolve donation issues and escalate complex queries where needed.
  • Maintain accurate financial and supporter data across systems including the CRM, Quickstream, iLink, and other platforms.
  • Attend the George Street Office as needed to manage and process physical donation mail.
  • Contribute to system improvements by identifying issues and working with relevant stakeholders to streamline donation processes.

Requirements for success

  • Experience in finance administration or transactional processing, ideally with at least two years in a similar role.
  • Proficiency using CRM systems and performing accurate, high-volume data entry.
  • Strong attention to detail and commitment to accuracy, particularly with financial and supporter records.
  • Excellent communication and interpersonal skills, with the ability to respond to donor queries professionally and warmly.
  • Strong organisational and problem-solving skills, with sound judgement and initiative.
  • Comfort navigating multiple systems and platforms, including Outlook, Microsoft Office, Teams, and SharePoint.
  • A collaborative mindset and customer-focused approach, with a genuine interest in supporting a mission-driven organisation.

Before starting work with us, you will need to undertake a national police history check, qualifications, and referee checks, and have a clearance to work with children/vulnerable people.
