About the Job – Your Role

As an Executive Support Specialist, you will provide high-level administrative and clerical support to the Assistant Superintendent of the correctional institution. You will manage calendars, meetings, travel, correspondence, and confidential documentation to ensure the efficient operation of the office. You will coordinate staffing processes including job postings, interviews, hiring, and maintaining accurate personnel files. You will also track and process grievances, complaints, and inquiries, ensuring timely and accurate responses while supporting internal reporting and special projects.

In this role, you will serve as a key liaison between leadership, staff, external agencies, and the public. You will supervise Adults in Custody (AICs) during assigned duties, ensuring safety and compliance with department procedures. Maintaining confidentiality, professionalism, and organizational awareness is critical. You will promote a respectful, inclusive, and harassment-free workplace that aligns with the Department of Corrections’ core values and leadership philosophy.

This position is represented by American Federation of State, County, and Municipal Employees (AFSCME). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS), as defined by statute.

Minimum Qualifications

three years of clerical/secretarial experience which included:
one year at a full performance level performing typing, word processing, or other generating of documents; and
lead work responsibility or coordination of office procedures.

Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience.

No substitution will be made for the one year at the full performance level.

Working Conditions

Office is located within the secure area of a medium security penal institution.  Threat of physical abuse, assault, riot, and other risks inherent in prison environment are present.  Interaction with inmates is on a daily basis.  Operation of video word processing equipment at least six hours a day.  The employee is responsible for always following and enforcing all established security procedures.

The salary range listed above is for non-PERS qualifying applicants. PERS qualifying applicants may be eligible for an adjusted range to reflect an additional 6.95%.

Requirements for Employment

The successful candidate for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, there may be some felony convictions that could disqualify you for this position.
