In this role, you will be responsible for assisting with compliance-related tasks, performing data entry, and contributing to the overall success of client accounts. Key Responsibilities:
Executive & Administrative Support
Provide high-level administrative assistance to the Senior Executive
Manage complex calendars and coordinate scheduling across departments and external partners
Screen and route phone calls and emails; prioritize urgent requests
Prepare agendas, take detailed meeting notes, and ensure follow-ups are tracked
Maintain overall organization and daily efficiencies for the Executive
Client Account & Compliance Support
Assist with day-to-day client account administration in collaboration with internal teams and external vendors
Monitor employee benefit elections and initiate Evidence of Insurability (EOI) processes for those who elect above the Guarantee Issue for voluntary benefits
Send EOI requests up to three times before withdrawing for non-response
Track statuses and update benefit administration systems or notify clients accordingly
Help manage compliance with timelines and reporting requirements (ACA, CAA, COBRA, etc.)
Support the development and delivery of plan summaries, open enrollment materials, and compliance documentation
Reporting, Data & Systems Management
Accurately enter and maintain client and compliance data in internal systems
Download and configure filtered reports for service and renewal teams to identify progress and delays in resolution
Reformat carrier-specific reports for SFTP delivery
Assist in initiating, mapping, and configuring Data Exchange (EDI) files for new plans and carriers to automate eligibility within the benefits administration platform
Build, update, and maintain presentation materials and strategic reports
Ad Hoc & Special Projects
Take initiative on special projects and tasks assigned
Collaborate closely with the Executive on building and optimizing internal systems and workflows
Qualifications:
3+ years of administrative or executive assistant experience; prior experience in employee benefits or insurance is a plus
Familiarity with benefit administration platforms, carrier systems, and EDI/EOI processes is highly preferred
Strong organizational and time-management skills with meticulous attention to detail
High level of proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with CRM systems preferred (EPIC)
Excellent communication and interpersonal skills
Proven ability to prioritize, multitask, and work effectively under pressure
