Will you join us?
We’re looking for a high-performing, senior-level Executive Assistant and Office Manager to support one of our Co-CEOs and lead the day-to-day operations of our Sydney headquarters. This part-time role is ideal for someone who thrives in a high-trust, high-impact environment and wants to contribute meaningfully while maintaining flexibility.
You’ll work closely with a founder-CEO who has led multiple successful ventures — playing a central role in managing priorities, coordinating with key stakeholders, and ensuring the Sydney office runs smoothly and effectively.
This is not your average EA or office manager role — it's a senior, hybrid position that touches everything from client engagement to team culture to strategic execution.
What you’ll do:
Executive Support & Strategic Coordination
- Provide high-level administrative and operational support to the Co-CEO, including calendar, travel, and inbox management
- Track key actions, priorities, and deliverables to ensure follow-through on high-impact initiatives
- Help manage and filter CEO requests, acting as a gatekeeper and trusted thought partner
- Support with light personal admin and logistics where appropriate
- Assist with the preparation of board packs, investor communications, and leadership updates
- Conduct research and prepare concise summaries to support informed decision-making
Client & Executive Engagement
- Proactively coordinate meetings with clients, prospects, partners, and board members
- Build strong relationships with senior stakeholders and executive assistants across our network
- Represent the CEO and the business with professionalism, warmth, and strategic awareness
- Identify opportunities to deepen relationships and unlock value from executive engagement
Office & Operations Leadership
- Own the day-to-day operations of the Sydney office — ensuring a well-run, stocked, and welcoming workplace
- Act as the first point of contact for visitors, vendors, and suppliers (IT, cleaning, maintenance, etc.)
- Monitor office equipment, kitchen supplies, and shared space upkeep
- Ensure WH&S compliance and act as the designated safety warden
- Triage incoming calls and direct messages to the right team members
- Communicate office policies and process updates clearly across the business
Team Culture & Event Coordination
- Plan and MC regular team sessions like weekly Wrap-Ups and quarterly Town Halls
- Organise internal events, team activities, and office celebrations
- Contribute creative energy to employee engagement and team-building initiatives
- Be a visible culture leader — fostering collaboration, inclusion, and energy across the team
Who we are looking for
- Proven experience as a senior Executive Assistant, Office Manager, or similar leadership support role
- Comfortable balancing high-level strategic coordination with hands-on operational execution
- Highly organised, proactive, and emotionally intelligent
- Excellent communicator who builds trusted relationships with ease
- Comfortable working part-time while remaining tightly aligned to key priorities
