                                                                                            Girl Guides of Canada is actively seeking a Project Coordinator (11-months contract)

 About This Opportunity

 

Reporting to the Senior Manager, Programs and Outdoor Experiences and Career Summit Series Project Lead, in this role you will be responsible for coordinating all aspects of the project, including event planning teams, registration, payment, travel, accommodations, venue, and evening gala logistics. This role will involve working with diverse stakeholders including committee members, onsite vendors, speakers, volunteers, partners, staff and youth. Duties will also involve customer and administrative support for project-related needs, supporting technical coordination for event management.

 

 

Position Specifics:

 

  • Participating in all elements of event management and supporting with key logistics and plans.
  • Supporting the development of digital programming for youth ages 15 - 19.  
  • Administration of the event platform and other digital registrations tools. 
  • Monitoring and responding to email inquiries from youth, caregivers, volunteers, and staff members.   
  • Keeping key documents like comms plans, FAQ documents, financial record keeping, and tracking spreadsheets updated.  
  • Scheduling and attending meetings, including providing meeting minutes and action items.  
  • Maintaining and updating budget on an on-going basis.  
  • Supporting data collection, evaluation, and support in the writing of funding reports.  
  • Tracking of key milestones and work-plan deliverables.  
  • Participating in cross-team collaboration to support the execution of key deliverables and action items.  
  • Support in the execution of evaluative measures throughout the event design and implementation process. 
  • Update key documents such as Frequently Asked Questions and support resources. 
  • Tracking and prioritizing feedback and recommendations from each planning team. 
  • Develop strong knowledge and understanding of GGC’s policies and guidelines. 
  • Adhere to all relevant policies, procedures, and practices. 
  • Liaise with other departments as required. 
  • Apply organizational policies regarding diversity, inclusivity and equity to content, member communication and customer service. 

 

General

 

  • Adheres to all relevant policies, procedures, and practices.
  • Provide general, ongoing support to members/volunteers, responding to/directing inquiries and consulting with the appropriate groups and individuals to support the mission and vision of GGC.
  • Other duties as assigned.

 

 

 

 

Requirements: 

 

  • Related post-secondary education or equivalent work experience 
  • 2-3 years’ experience with project coordination and/or event planning, technical support and customer service. 
  • Experience in large-scale event management and planning.  
  • An understanding of volunteer relationship support.  
  • Strong time management skills  
  • Able to multi-task and manage competing priorities.  
  • Highly organized and able to take initiative in a fast-paced environment.  
  • Strong interpersonal and communication skills, both written and verbal.  
  • Knowledge of Girl Guides and positive youth development (PYD) an asset.  
  • Familiarity with event management systems. 
  • Demonstrated ability to provide excellent customer service and detailed information tracking. 
  • Intermediate computer skills including Office 365 (Word, Excel, Power Point, Outlook, SharePoint, Teams). 

 

Assets Include:

 

  • Familiarity with Girl Guides of Canada and experience in the youth development sector is an asset. 
  • Remote and hybrid work experience is an asset. 

 

 

 

Salary: $45,600/Annually
