Job description

This is a remote position.

ABOUT THE CLIENT:

Our client is an Australian-based commercial law firm with fixed-fee pricing, specializing in franchise and commercial contract law. Founded in 2012 with offices across Gold Coast, Bundall (QLD), Perth (Hillarys), and Sydney, they are champions transparent, accessible legal support tailored to SMEs, tradies, and franchisors. The team is led by experienced lawyers from top-tier firms, offering a high-quality, client-focused service that removes billing uncertainty.

JOB SUMMARY:

This remote role provides essential support to the legal team by managing client intake processes and assisting with contract preparation and finalisation. It combines strong administrative capability with client service skills to ensure smooth day-to-day operations and high-quality service delivery.

 

KEY RESPONSIBILITIES:

Client Support & Administration

  • Answer all incoming calls and handle initial client interactions professionally.

  • Discuss client needs and determine appropriate next steps using provided checklists.

  • Book appointments with the legal team via Calendly or refer the client to the appropriate contact.

  • Open new leads using the firm’s client matter management system.

  • Open new matters and ensure accurate data entry into the system.

Contract Administration

  • Prepare first draft contracts using instruction sheets and pro forma precedent documents.

  • Draft emails and instructions to clients for legal team review.

  • Submit draft documents to the legal team for finalisation and dispatch.

  • Prepare final versions of contracts and send them out for electronic signature.

  • Set tasks and reminders for legal team follow-up (e.g. client signing, information requests).



Requirements

SKILLS & QUALIFICATIONS:

  • Must have substantial experience dealing with English-speaking clients over the phone in a professional setting”.

  • Must have prior experience preparing or drafting contracts for English-speaking businesses.

  • Excellent spoken and written English.

  • Professional phone manner and strong client service orientation.

  • Highly organised with good time management and ability to meet deadlines.

  • Attention to detail, particularly when following templates and legal instructions.

  • Proficient in Microsoft Word and able to format legal documents consistently.

  • Confident using client relationship management (CRM) or matter management systems.

  • Able to follow procedures, checklists, and instruction sheets precisely.

  • Comfortable working remotely with a high degree of independence.

  • Prior experience in a law firm or legal admin environment (preferred but not essential).
