Description

Position Summary:

The Manager of Operational Excellence plays a key role in identifying inefficiencies, optimizing business processes, and driving continuous improvement initiatives. This position focuses on project management, including project planning, risk management, cost control and data analysis. This role will assist with implementing best practices and ensuring that operations align with organizational goals for efficiency, quality, and cost-effectiveness. This role requires project management experience and proficiency using project management software, spreadsheets and other relevant project tools such as task lists and Gantt charts.


The position will report to the VP of Operational Excellence & Strategic Initiatives and will support the Directors of Operational Excellence and Strategic Initiatives in driving large-scale projects, including the aOS framework, and collaborate with multiple teams to execute improvements and strategies effectively.


Essential Functions and Job Responsibilities:

Facilitating Operational Excellence Initiatives:

  • Support the facilitation of process improvement initiatives by leveraging Lean, Kaizen, and Continuous Improvement (CI) methodologies.
  • Assist in analyzing current operational processes, identifying inefficiencies, and collaborating with stakeholders to implement improvements.
  • Help drive the adoption of standardized processes and best practices to support organizational growth and efficiency.

Process Improvement & Optimization:

  • Analyze existing workflows, identify inefficiencies, and recommend process improvements.
  • Works to develop and standardize operating procedures to enhance efficiency and reduce waste.
  • Facilitate cross-functional workshops and Kaizen events to drive change and improvement.
  • Support the coordination and tracking of ongoing operational excellence initiatives, ensuring they are progressing according to established timelines and goals.
  • Provide day-to-day project support, helping teams align efforts and overcome obstacles to keep projects on track.
  • Contribute to the execution of the aOS framework, ensuring proper tracking, reporting, and alignment across teams.

Data Analysis & Performance Metrics:

  • Collect, analyze, and interpret operational data to identify trends and opportunities for improvement.
  • Define and track Key Performance Indicators (KPIs) to measure operational success.
  • Use data visualization tools (e.g., Power BI, Tableau) to present insights and recommendations.

Technology & Automation:

  • Identify opportunities for automation and digital transformation.
  • Collaborate with IT and business teams to implement process automation solutions.
  • Evaluate new tools and technologies that enhance operational performance.

Collaboration & Change Management:

  • Promote a culture of continuous improvement and operational excellence.
  • Provide ongoing support to cross-functional teams, ensuring effective collaboration, accountability, and communication.
  • Work closely with business leaders to support process improvement goals and ensure alignment with broader organizational objectives.

Training & Continuous Improvement Coaching:

  • Provide coaching and guidance to teams on CI principles and Lean techniques to help them integrate process improvements into their daily work.
  • Support the development of training materials and resources to promote continuous learning across the organization.
  • Act as a resource for teams as they navigate operational challenges, offering insight into best practices and improvement opportunities.

General:

  • Develop and maintain working knowledge of current products and services offered by the company.
  • Maintain patient confidentiality and function within the guidelines of HIPAA.
  • Complete assigned compliance training and other educational programs as required.
  • Maintain compliance with AdaptHealth’s Compliance Program.
  • Perform other related duties as assigned.

Competency, Skills, and Abilities:

  • Knowledge and experience in applying Lean principles, Kaizen, and Continuous Improvement (CI) methodologies.
  • Ability to support and drive multiple projects simultaneously, with a focus on project facilitation and coordination.
  • Strong interpersonal skills with the ability to work collaboratively with various departments and facilitate group discussions.
  • Experience with agile methodologies and tools to support project tracking and communication.
  • Familiarity with data analysis and visualization to help track the success of improvement initiatives.
  • Comfortable working in a matrixed organization and adapting to evolving project needs and organizational priorities.
Requirements

Education and Experience Requirements:

  • Bachelor’s degree or equivalent professional experience (7+ years of facilitating continuous improvement initiatives, Lean, or operational strategy work).
  • Demonstrated experience in facilitating process improvements, project management, and operational excellence.
  • Knowledge and experience in applying Lean principles, Kaizen, and Continuous Improvement (CI) methodologies.
  • PMP Certification or demonstrated project management experience such as project planning, risk management, project cost management and data analysis.
  • Proficiency using project management software, spreadsheets and other relevant project development and tracking tools.

Physical Demands and Work Environment:

  • Must be able to bend, stoop, stretch, stand, and sit for extended periods of time and ability lift to 10lbs as needed.
  • Ability to perform repetitive movements of the upper extremities’ motions of wrists, hands, and/or fingers due to extensive computer use.
  • Work environment may be stressful at times, as overall office activities and work levels fluctuate.
  • Subject to long periods of sitting and exposure to computer screen.
  • Mental alertness to perform the essential functions of position.
  • Ability to work after non-business hours as needed.
  • May be exposed to angry or irate customers or patients.
  • Must be able to drive and travel as needed.
  • Physical and mental ability to provide clinical assessments.
  • Excellent ability to effectively communicate both verbally and written with customers with the ability to demonstrate empathy, compassion, courtesy, and respect for privacy.
  • Ability to work after non-business hours as needed.
