Job description

This is a remote position.


Schedule: 


40 hours a week
Monday to Friday 9 am - 6 pm AEST (includes 1-hr unpaid break)



Overview:



We’re looking for a detail-oriented, reliable, and proactive Administrative Assistant to provide client-facing support and assist in managing internal operations. This role combines administrative coordination, light project management, and client communication, ideal for someone who thrives in a remote setting and has experience using GoHighLevel (GHL).


The ideal candidate will be highly organised, tech-savvy, and confident in managing both internal teams and external client interactions.



Key Responsibilities:

Client-Facing Communication & Support

  • Communicate directly with clients via Slack, email, and occasional video calls to address onboarding, technical queries, or status updates.

  • Respond to inquiries professionally and promptly across various platforms (email, Slack, Facebook, etc.).

  • Support clients onboarding by setting up Slack channels, sending email invites, and providing orientation on shared resources.

  • Conduct basic troubleshooting or redirect technical issues to appropriate teams.

  • Join weekly events (e.g. OmniSync Pro webinars) as a co-host to assist with audience engagement and live support.

Project & Process Management

  • Coordinate task reminders and calendar events for leadership.

  • Review and analyze End-of-Day (EOD) reports and checklists from team members to prepare summaries.

  • Track client funnel progress, GHL automation updates, and provide reports as needed.

  • Assist in monitoring time trackers and aligning logs with team output for accountability.

Administrative Support & Content Coordination

  • Monitor and track payments, refunds, and subscription statuses in coordination with finance.

  • Maintain and update leadership's finance tracker.

  • Upload and manage content on YouTube, including transcription and timestamps.

  • Manage email campaigns by updating weekly topics and supporting scheduled automation.

  • Monitor and moderate community interactions (Facebook Group).

  • Prior experience in admin support, project coordination, or a similar client-facing role.

  • Knowledge with GoHighLevel (GHL) platform is a must

  • Comfortable with remote communication tools like Slack, Zoom, and Google Workspace.

  • Able to multitask and handle competing priorities independently.

  • High attention to detail and accuracy.

  • Proactive and resourceful, with a willingness to go the extra mile for both internal teams and clients.
