Senior Manager, FSA Project Management - Lisbon, portugal - homebased

Responsible for effectively managing people and processes to ensure accelerated site activation timelines and highest quality for their region, customer, function or sites.  Ensures all timeframes and targets are met, and that quality, customer satisfaction, and costs are optimally managed for all assigned personnel, projects, functions, and/or clients. Provides operational leadership across all functional areas, and is knowledgeable in local regulations, as well as regulatory/ethics requirements, site contract process, essential documents, and site activations, to act as a counterpart to internal and external customers as needed.

Responsibilities:

  • Create a culture of continuous improvement with a focus on quality, acceleration, and site and client needs.
  • Evaluate changes in the competitive market and regulatory environment to ensure ICON is at the forefront of knowledge and advances and is providing best in class site activation services.
  • Act as a change agent within and beyond the department to align with corporate and strategic goals.
  • Lead customers, regional, or functional delivery of accelerated site activations with highest quality standards to exceed customer expectations.
  • Monitor and improve key performance metrics around reduced cycle times, predictability of delivery, and enhanced productivity.
  • Accountable for resourcing, utilization, forecasting and headcount control, to ensure staffing levels are conducive to operational and financial success.
  • Review study and partnership budgets for proposals and sales as needed.
  • Drive process improvement, efficiencies and technological development to meet KPIs and delight customers, sites, and team members.
  • Act as customer/portfolio, country, regional or functional client liaison and escalation point of contact; resolve customer relationship issues and drive exceptional customer delivery.
  • Represent FSA at audits and inspections, represent FSA for a client, function, or region on committees and work groups to support the development and implementation of new initiatives and strategic direction of FSA.
  • Participate in Business Development opportunities to support the growth of the assigned portfolio, function, and/or region/country(ies).
  • Lead initiatives, or collaborate on global initiatives, across FSA.
  • Line management of assigned staff; including conduct and documentation of regular 1:1 discussions, ongoing communications, presentations, goal setting, salary and performance reviews, as well as talent mapping and succession planning.
  • Empower staff and hold them accountable for deliverables. 
  • Participation in hiring and interviewing, with decisions on outcome.
  • Direct administrative tasks including review of expense reports, manage overhead costs and financial forecasts.
  • Act as a mentor where required.
  • Travel (approximately 15% depending on country structure and direct report levels) domestic and/or international

What you need:

  • Bachelor’s Degree
  • 6-9 years of experience in a Clinical Research environment
  • Proven experience managing site activation processes, with a strong understanding of regulatory requirements and clinical trial operations.
  • Strong leadership and team management skills, with the ability to guide and develop a high-performing team of site activation professionals.
  • Excellent organizational and project management abilities, with a proven track record of managing multiple site activations simultaneously.
  • Detail-oriented and proactive, with a commitment to maintaining high standards of quality and regulatory compliance.
  • Strong communication and collaboration skills, with the ability to work effectively with internal teams and external stakeholders.
