3+ years of proven experience in a senior-level executive assistant or administrative support role, preferably supporting C-suite or director-level executives. Exceptional organizational and multitasking skills, with the ability to manage competing priorities in a fast-paced environment. Strong verbal and written communication skills, with a professional demeanor and attention to detail. High level of discretion and integrity when handling sensitive or confidential information. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with digital scheduling and collaboration tools (e.g., Google Workspace, Slack, Zoom). Ability to anticipate needs, think critically, and offer solutions to problems with a proactive approach. Comfortable working independently with minimal supervision, as well as collaboratively within a team. Bachelor’s degree in Business Administration, Communications, or a related field preferred; relevant certifications (e.g., CAP, PMP) are a plus

Core responsibilities:

Coordinate and manage the daily schedules, meetings, and appointments of senior executives, ensuring optimal time management and prioritization of tasks. Act as the first point of contact for internal and external stakeholders, handling inquiries, calls, and emails with professionalism and discretion. Prepare high-quality reports, presentations, spreadsheets, and other business documents in support of executive needs. Plan and organize meetings, including logistics, agendas, materials preparation, and taking detailed meeting minutes or notes when necessary. Book and manage complex domestic and international travel arrangements, including flights, accommodations, and itineraries. Maintain and update filing systems, databases, and other administrative processes to ensure smooth day-to-day operations. Track follow-up items, deadlines, and key action points from meetings and communications, ensuring timely execution and accountability. Provide occasional support with personal tasks, events, or errands to support executive effectiveness and work-life balance
