Job Summary

The temporary Assurance Communications Associate supports the Assurance team by providing administrative assistance to team members. This includes coordinating internal and external communications, as well as drafting and proofreading documents. The Associate aids the Assurance team across core activities to help ensure a consistent and credible assurance program for Textile Exchange Standards. The ideal candidate is curious, self-motivated, helpful, and highly organized. Success in the role will depend on attention to detail, resourcefulness, and professionalism. Strong English communication skills, both written and verbal, are required for this role. 

 

Textile Exchange is a US-based, remote-working organization with a global team.  This position will be based in the USA
and occasional work will be expected outside of normal working hours for calls with people in other parts of the world.



Duties and Responsibilities  

Document Content Reviews and Preparation 

  • Support on document formatting and proofreading text for grammar, structure, and style
    in accordance with approved guidelines and SOPs.
  • Support with presentation creation, formatting, and proofreading.
  • Support with document creation/drafting, including coordinating necessary approvals.
  • Support on transferring drafted content into formal templates and preparing files for publication.
     

Coordinating Communications with Assurance Providers

  • Support communications with assurance providers via email, letters, and online communities (e.g. Textile Exchange’s “The Hub”).
  • Draft and coordinate reviews/approvals of outgoing Assurance communications such as letters, forms, and website content, using prepared templates where available.

 

Supporting the Assurance Communications and Systems Team

  • Support on coordinating virtual meetings, calls, webinars, and meetings with assurance stakeholders (both internal and external) as well as notetaking.
  • Assist with the tracking and management of information about assurance providers in various systems, including data entry (e.g. SharePoint, Salesforce).
  • Work proactively to give key reminders of upcoming activities and priorities to the team, including cross-departmentally where needed.
  • Support the team with routine tasks as required.

 

Minimum Experience and Qualifications   

  • Based in a North American time zone; preference for central or eastern time zones, with flexibility to communicate with multiple time zones outside of standard working hours.
  • Ability to work remotely/from home.
  • Ability to work autonomously in a flexible, yet fast-paced culture and complex organizational structure. 
  • Proficient with Microsoft Office Suite, including strong skills in Microsoft Word and Excel.
  • Strong proficiency in English, with excellent grammar and writing skills, particularly for technical writing.
  • Strong communications skills, including the ability to engage and collaborate respectfully and effectively with team members across the globe.
  • Ability to synthesize and present complex information in a simple, meaningful way.
  • Detail-oriented, logical, systematic, methodical, and highly organized, with an excellent eye for detail and passion for problem solving.
  • Strong interpersonal skills, with the understanding of discretion and confidentiality.
  • meeting deadlines and sharing progress regularly. Comfortable with ambiguity and changing direction/priorities.
  • Strong work ethic and self-motivated.

  • The ability to stay calm under pressure, while maintaining a sense of urgency and efficiency when appropriate.

 

Preferred Experience and Qualifications  

 

  • Additional language(s).
  • College/University degree (B.A. or B.S. or equivalent).
  • Knowledge of styles and advanced formatting features of Microsoft Word.
  • Experience with Salesforce, ClickUp, and Sharepoint.
  • Previous experience working in international context, scheduling across multiple time zones.
  • One to two years of certification body, supply chain, or textile industry experience.
  • Previous experience working with or knowledge of Textile Exchange standards.
  • Previous experience in online and/or in-person customer service.

 

Employment Package  

  • Reports to: Manager, Assurance Communications and Systems
  • Full Time Temporary Position, 32-40 Hours a Week
  • Location: Virtual/Remote, preferred to be based in a central or eastern North American time zone  
  • Hourly Range: $27-$31
  • Start Date: As Soon as Available
  • Duration: 6 months
