The Administrative Assistant is an experienced individual contributor whose work will provide administrative support and executive assistance for the Translational Data Analytics Institute (TDAI). This is a high-profile position, as they will often be the first representative of the institute and its director with whom both internal colleagues and external partners will interface. The Administrative Assistant provides administrative assistance and operations/event support, as highlighted below.
Administrative Assistance: This role will serve as Administrative Assistant to the TDAI faculty director, functioning as the principal link connecting the director with the campus community (including university administrators, college deans, department chairs, centers/institute directors and faculty affiliates). This position will also facilitate communication with external partners from other universities, industry, non-profit organizations and government agencies. They will provide executive level administrative support to the TDAI faculty director, and in this capacity will manage information of a highly sensitive nature while maintaining confidentiality and exercising sound judgment. They will oversee scheduling meetings and coordination of the faculty director’s calendar relevant to the institute’s mission, and in doing so will assess the level of priority in determining urgency. The Administrative Assistant will make travel arrangements, develop travel itineraries, and process travel reports and reimbursements for the faculty director.
The Administrative Assistant will also interface with TDAI’s advisory boards that the faculty director chairs and leads. They will be responsible for the logistics of the board meetings with its Leadership Team (monthly), Internal Advisory Board (twice per year) and External Advisory Board (twice per year). As such, they will take the initiative to schedule, prepare and distribute agendas, record meeting minutes, and track action items.
TDAI Event and Operations Support: The Administrative Assistant will be responsible for providing operations support for TDAI programs led by TDAI staff. Thus, it will be necessary for the Administrative Assistant to attend weekly staff meetings to ensure effective communication with the team. The Administrative Assistant will coordinate and efficiently manage calendars and invitations for TDAI’s programs, events and meetings. They will support the relevant TDAI staff in implementing events and programs, in part by purchasing supplies, reconciling orders, process honorariums, preparing event-specific materials, etc. They will ensure the collection and submission of documentation for administrative processes and systems are conducted in adherence to department procedures and University policies.

This is a part-time position, working 20 hours per week.
Compensation
The pay range for this job profile is $21.35-$27.77. The offer for this position will fall within this range based on multiple factors including internal equity, unit’s available budget, and the candidate’s qualifications.
Position Location
This is a remote position aligned with U.S. Eastern Time Zone including an option for remote. All employees are provided university-configured equipment and supportive technology tools. Employees are required to provide reliable internet access and home office furnishings for approved remote work locations.
