Executive Assistant to the CEO (Remote) 
 
Our client is a global leader transforming consumer experiences through innovative digital scent technologies. Leveraging advanced AI-driven solutions, their platform delivers personalized and immersive scent experiences within the home environment. They partner with leading consumer brands to redefine smart home living, enhancing wellbeing, personalization, and lifestyle through IoT-enabled scent diffusion. 
 
They are looking for a highly organized, proactive, and discreet Executive Assistant dedicated to supporting their CEO to ensure efficiency and effectiveness across international business operations. You will serve as a critical support pillar, seamlessly managing complex schedules, high-level stakeholder communications, fundraising activities, and global travel logistics, enabling the CEO to maximize his impact in strategically growing the company. 
 
As the Executive Assistant to the CEO, you will work in the following areas: 
  • Complex Calendar Management: Expertly manage and coordinate the CEO’s busy international schedule, aligning meetings, travel itineraries, and time-sensitive engagements across multiple time zones (particularly US and France). 
  • Investor and Stakeholder Support: Prepare detailed briefing materials, investor communications, presentations, and follow-ups. Ensure the CEO is fully briefed and equipped for key meetings, calls, and presentations. 
  • Global Travel Coordination: Arrange detailed international travel logistics, accommodations, and transportation, anticipating potential disruptions and proactively resolving issues. 
  • Professional Communication: Draft, refine, and manage executive-level correspondence with investors, strategic partners, board members, and internal stakeholders, maintaining impeccable standards for clarity and professionalism. 
  • Administrative Excellence: Efficiently handle expense reporting, manage documentation and filing systems, and oversee priority project follow-ups. 
  • Meeting & Event Support: Plan, coordinate, and manage internal and external meetings, board presentations, investor roadshows, and virtual events, ensuring exceptional standards of professionalism and effectiveness. 
  • Special Projects: Assist the CEO on strategic business projects and initiatives, providing research, summarization, and logistical support. 
  
As the Executive Assistant to the CEO, your background should include: 
  • Bachelor’s degree required; advanced education preferred. 
  • Minimum of 5 years supporting a C-suite executive or CEO, ideally in a technology-focused or startup environment with global operations. 
  • Exceptional organizational and time-management skills, capable of handling multiple complex priorities with precision. 
  • Excellent written and verbal communication skills in English, with proficiency in French highly preferred. 
  • Demonstrated expertise in coordinating international schedules and travel logistics. 
  • Proven experience supporting executive-level investor relations, fundraising, and high-stakes business communications. 
  • Tech-savvy and proficient in productivity tools (Microsoft Office, Google Suite, Slack, Zoom, Teams). 
  • Strong discretion and professional integrity, trusted to handle confidential and sensitive information.
