General Description:

The Associate Contract Manager is responsible for the overall coordination and management of the contract flow for Clinical Site Contracts in such a manner that it is compliant with BeOne and legal guidelines, is delivered in the required quality and within the agreed timelines. The Associate Contract Manager participates in the resolution of contract-related issues as they arise.

Essential Functions:

  • End-to-end responsibility for life-cycle management of clinical trial agreements, including initial agreements and amendments
  • SME for all contract and budget related matters and POC for business partners incl. Legal, Finance, etc
  • Training on contract and budget related matters to internal CBO colleagues or business partners

POC for clinical contracts globally, assist in standardizing global processes

  • Oversee the contract negotiation including legal terms and budget, provide guidance for site contract negotiations and identify on any potential risks and be accountable for the overall contracting timelines set in the plan
  • Drive solutions for issues identified through negotiation, including liaising with appropriate stakeholders inside/outside CBO, telephone or on-site negotiation support and guiding the team through a proper risk-based decision-making process
  • Establish and maintain fallback languages to enhance efficiency of negotiation in conjunction with BeOne Legal
  • Responsible for clinical contract management, study metric tracking and reporting
  • Works on Fair Market Value (FMV) analysis and processing of FMV exceptions (as needed)
  • Provides cost benchmarking for clinical budget activities using industry-based system analysis; ( as needed)
  • Develop and maintain tracking of negotiated savings
  • Active participant in various study meetings
  • Collect site specific contract and budget information and contribute to the maintenance of contract/budget intelligence tools
  • Prepare program/study status reports for management
  • Maintains a system for tracking progress and status of clinical budget/contracts
  • Provide oversight to external partners to ensure the contract lifecycle is being managed per BeOne’s best practices and guidelines
  • Review, negotiate and approve the terms and conditions for contracts in accordance with internal policy and applicable laws, as needed
  • Serve as escalate point for site budget negotiations and ensure costs are approved within BeOne FMV standards
  • Support activities of various contracts and subsequent contract amendments note to files and other contract related requests
  • Assist colleagues with the resolution of problems related to site budget, contract terms and conditions, compliance with sponsor and institutional policy, and any other contract related issues
  • Deliver trainings to clinical business operations colleagues or other BUs as needed
  • Performs other duties as assigned by management

Minimum Requirements – Education and Experience:

  • Bachelor’s level degree or above in legal or life sciences; Advanced degree is preferred
  • Minimum 4 years or more relevant experience in the CRO or Pharmaceutical industry

Other Experience:

  • 3 years or more direct experience in managing site agreements
  • Good working knowledge of contract laws, regulations and policies
  • Good working knowledge of site budgetary items and requirements
  • Strong leadership, interpersonal and problem-solving skills
  • Strong project management skills
  • Fluency in both verbal and written Portuguese, English and prefer Spanish
  • Prior investigator site budget development and/or negotiations, global is preferred
  • Prior experience leading large Global clinical Trials
  • Ability to negotiate basic and moderate investigator contract and payment terms
  • Collaborate with Clinical Research Organizations
  • Flexibility to assume a workload which frequently necessitates an adjustment of priorities
  • Goal and task oriented, self-starter with proven ability to work independently
  • Able to proactively identify issues and provide potential solutions for resolution
  • Detail oriented
  • Ability to manage multiple tasks simultaneously and meet deliverables in accordance with stated timelines
  • Proficiency with Medidata-Grant Manager and all applications of Microsoft Office
  • Good interpersonal skills
  • Comfort with ambiguity; ability to act without having the total picture
  • Perform other administrative duties as assigned

Supervisory Responsibilities:

  • Proficiency in the Microsoft Office Suite: Outlook, Word, Excel, SharePoint, OneNote, and Grants Manager or similar system

Communication Skills:

  • Strong interpersonal skills and professional attitude are essential as this individual interacts with many people of varying levels of responsibility for clinical studies and business performance.
