Job description

This is a remote position.

Job Highlights:
  • Contract type: Independent Contractor
  • Schedule: 40 hours / week; Monday to Friday, 9:00 AM - 5:00 PM Glenmont, NY time

About the Role:
We’re hiring a sharp, organized assistant to support our leasing and sales operations, with a focus on CRM management, listing coordination, compliance tracking, marketing support, and communications.

You’ll work directly with our internal teams to keep leasing and sales pipelines moving—ensuring no leads are lost, listings are accurate and up-to-date, and compliance tasks are handled on schedule. The role also includes light social media work to help build brand visibility across platforms. This is a long-term, full-time position with strong potential for growth into operations leadership and comes with steady mentorship and performance-based incentives.
Key Responsibilities:
  • Support leasing and sales teams with CRM data entry and upkeep (MLS, Rentvine, ShowMojo, Aptly, etc.)
  • Respond promptly to leasing and sales inquiries via email, CRM, or chat
  • Track and manage lead follow-ups; maintain accurate contact records
  • Prepare and syndicate listings across multiple platforms
  • Maintain compliance checklists for leasing, fair housing, and document tracking
  • Compile and update weekly and monthly performance reports (leads, showings, applications, conversions)
  • Monitor listing accuracy and alert team to errors, expirations, or issues
  • Draft professional client communications using approved templates
  • Provide marketing support (photo audits, copy review, scheduling content)
  • Create, monitor, and respond to social media posts (simple updates using platforms like Canva—no formal marketing background needed)
  • Coordinate cross-team tasks with maintenance, accounting, and legal departments
