Description

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to three executives in our New York office. This role primarily focuses on delivering exceptional administrative support and providing support to teams the executives lead. The ideal candidate will excel at managing the day-to-day operational needs of busy executives while maintaining meticulous attention to detail. This role will report directly to the Head of People, US and will require 4 days in person at our New York office.

In this role you will

  • Manage time and priorities for three executive leaders through precise calendar oversight.
  • Process expense reports, receipts, and reimbursements with accuracy and timeliness
  • Coordinate logistics for business travel including flights, accommodations, ground transportation, and itineraries for the executives and on rare occasions, members of their team. 
  • Coordinate and prepare for client meetings held by the executives and their team to ensure a seamless experience for our clients and partners when they are on site. 
  • Coordinate team meetings and off-sites, including agendas and follow-up
  • Help executives stay organized and on schedule during busy periods
  • Support with People Team initiatives from time to time as requested including special projects and event coordination. 

Requirements

  • 3-5 years of experience in executive support roles with proven administrative excellence.
  • Outstanding calendar management skills with experience supporting multiple executives.
  • Experience with expense management systems
  • Exceptional attention to detail and follow-through
  • Strong written and verbal communication abilities
  • Proficiency with Google Workspace, Slack, and travel booking systems
  • Track record of high fidelity, high integrity decision making
  • Proven ability to handle confidential information with discretion and care.

The salary for this position ranges between $90,000-$100,000. This is decided based on many factors, including but not limited to: skills, qualifications, and geographic location. In addition to base salary, we are proud to offer stock options in the company and a competitive benefits package.
