Job Description

About the Role:
This is a high-impact, fast-paced role supporting our founder. You’ll be the backbone that keeps priorities on track, communication flowing, and operations running smoothly. You’ll not only manage the inbox and communications but also handle traditional EA responsibilities and bring order to the chaos of a dynamic startup environment.

What You’ll Do:

  • Inbox Management: Preempt, triage, and draft thoughtful responses to emails, ensuring that the founder’s inbox stays focused on the highest-leverage items.

  • Calendar & Scheduling: Coordinate complex meetings across multiple time zones, proactively resolve conflicts, and ensure the founder is prepared.

  • Travel Coordination: Plan and book domestic and international travel, manage itineraries, and handle last-minute changes with grace.

  • Expense Management: Track, categorize, and submit expense reports on time, ensuring accuracy and compliance with company policies.

  • Meeting Preparation: Organize agendas, prep materials, and take notes during key meetings, ensuring actionable follow-ups.

  • System Building: Develop and refine processes that keep the founder’s world running smoothly—streamlining everything from task management to document workflows.

  • Special Projects: Assist with research, presentations, and ad hoc projects across startups, investing, media, and AI.

  • Confidentiality: Handle sensitive information with the utmost discretion and professionalism.

Qualifications

What You’ll Bring:

  • At least 3 years of experience as an Executive Assistant (or similar role) in a fast-paced startup environment.

  • Proven ability to manage complex inboxes, calendars, and communications independently.

  • Strong organizational and project management skills—you think in systems, not tasks.

  • Excellent written and verbal communication skills, able to capture the founder’s voice and tone.

  • Experience supporting executives in startups, investing, media, or AI is a big plus.

  • Comfort with technology tools (e.g., Slack, Notion, Google Workspace, Asana, etc.) and a knack for learning new ones quickly.

  • U.S. citizen, based in the U.S.
