Description

Job Title: Appointment Scheduler (Fully Remote MUST BE LOCATED IN THE DFW AREA)

*Training will be done in office then fully remote.*

General Summary of Duties:  The Appointment Scheduler will report to the Appointment Scheduling Manager. The position will provide exceptional customer service to new and established patients. This role is crucial to the overall patient experience and will require multi-tasking, focus and effective communication. It is also the duty of the appointment scheduler to maintain accurate records and update necessary information for established patients. 

Position Responsibilities:

  • Answer phones within two rings.
  • Schedule established and new patient appointments in accordance with physician templates and preferences.
  • Request copies of imaging, lab reports, or sleep studies in accordance with chief complaint.
  • Respond to patient communications via email, phone, or web submission.  
  • Demonstrate proactive initiative by troubleshooting potential conflicts and directing to the correct department.
  • Communicate with MA’s and front office coordinators to ensure a smooth clinic flow.
  • Enter patient demographics, pharmacy and all insurance information accurately into their chart.
  • Check voicemail messages and distribute appropriately.
  • Handle referrals effectively and in regards to our policy and procedures.
  • Schedule audio appointments when necessary.
  • Use customer service principles and techniques to deal with patients calmly and pleasantly
  • Other duties as assigned by physicians, practice administrator and/or management.

Qualifications

Experience and skills

  • Minimum one year customer service experience preferred
  • General working knowledge of office atmosphere and etiquette

  • Experience verifying insurance, working knowledge of deductibles, out-of-pockets and coinsurance
