How You Will Make an Impact

The Enrollment Coordinator  is responsible for executing student recruitment strategies to meet enrollment goals and support the school’s long-term growth. This position serves as the primary point of contact for prospective families and plays a key role in promoting the school’s academic programs, values, and community. The Enrollment Coordinator will coordinate outreach efforts, respond to inquiries, guide families through the application process, and maintain accurate enrollment data. This role also involves maintaining clear and consistent documentation of outreach and engagement efforts to help ensure enrollment data remains accurate and aligned with audit expectations. The Enrollment Coordinator reports to the Sr. Director of Enrollment Management.

Recruitment and Outreach

  • In collaboration with the Enrollment Management Department, develop and execute recruitment plans targeting prospective families across grade levels.
  • Represent the schools at external events including school fairs, community events, and educational conferences.
  • Conduct regular outreach to feeder schools, educational consultants, and community partners.
  • Host and support virtual sessions, and one-on-one family meetings.
  • Support the development of partnerships with organizations to strengthen awareness and access to the school’s programs.  

Admissions Coordination

  • Serve as the primary liaison for prospective families, providing support throughout the inquiry and application process.
  • Maintain timely and effective communication with applicants via email, phone, and virtual meetings.
  • Provide clear explanations of school offerings, admissions requirements, and tuition Track applicant status, follow up on incomplete applications, and support families through decision and enrollment steps.

 Customer Service

  • Serve as a welcoming, responsive, and knowledgeable point of contact for all prospective families, guiding them with care and clarity through the admissions process.
  • Support intake of incoming calls across school brands and provide a warm, informed hand-off to the appropriate team member or department.  
  • Build trust and rapport through timely, personalized communication—whether by phone, email, text, or in person— ensuring families feel heard, supported, and valued.
  • Resolve concerns or questions efficiently, collaborating with internal teams when necessary to provide accurate and comprehensive responses.
  • Foster a high-touch experience for every family that reflects the school’s commitment to kindness, inclusivity, and excellence.
  • Demonstrate cultural sensitivity and active listening when working with families from diverse backgrounds and experiences
  • Anticipate family needs throughout the admissions journey and proactively provide relevant information or assistance.
  • Support re-enrollment process for current families. 

Marketing and Communications

  • Collaborate with the marketing team to align messaging with branding and outreach campaigns.  

Data Management and Reporting

  • Utilize CRM tools to manage prospective student data and track engagement.
  • Maintain accurate records of outreach efforts, inquiries, applications, and enrollment trends.
  • Generate weekly, monthly, and quarterly reports for the Enrollment Management Department on enrollment progress and conversion rates.  

School Community Engagement

  • Support cross-departmental collaboration with faculty, family liaisons, and administrative teams to ensure a positive applicant experience. 
Qualifications

JOB QUALIFICATIONS

MINIMUM QUALIFICATIONS

• Bachelor’s degree preferred; equivalent experience in student recruitment, admissions, education, or customer service may be considered.

• Minimum of 3 years of relevant experience, preferably in a school or educational setting.

• Availability for occasional evening/weekend work and multiday travel is required to support enrollment events and conferences.

• Experience with CRM platforms and lead management tools.

• Demonstrated ability to provide exceptional customer service in a professional environment, with a focus on resolving issues efficiently and effectively.

• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other technology applications.

• Capacity to lift, carry, push, and pull objects weighing up to 25 pounds.

• Frequent multi-tasking, shifting task priorities, and repetitious exacting work are required. 

PHYSICAL REQUIREMENTS

• Vision: Ability to read small print and view a computer screen for prolong periods, prepare, or inspect documents and operate office equipment.  

• Hearing: Ability to hear average or typical conversations and receive ordinary information.

• Speech: Ability to be understood in face-to-face communication, in person or remote, to speak with a level of proficiency and volume to be understood over a telephone or computer.  

• Mental Demands: Ability to read, write, understand, interpret, and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. Frequent multi-tasking, changing of task priorities, repetitious exacting work. Understand how to manage stress. high workflow management, high project coordination, and high people engagement.

• Upper Body Mobility: Ability to use fingers to make small movements such as typing, picking up small objects, or pinching fingers together, use hands to grasp, and manipulate small objects; twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head.

• Strength: Ability to lift, carry, push, and pull objects weighing up to 25 pounds.    

• Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors. Prolonged period sitting at a desk and working on a computer.  Work in a low to moderate noise environment with frequent deadline pressures.
