Aquatech immediately needs a full-time Document Controls Specialist to work in our Hartland, WI, office location. This position will work  Monday through Friday from 8:00 a.m. to 5:00 p.m. 

The Document Coordinator will perform the duties described in the job description below and will be considered a Non-Exempt employee. This person will be a meticulous and organized individual with a knack for managing documents and ensuring data accuracy to work in our Hartland, Wisconsin, office. Join our dynamic team as a Document Controls Specialist, where you'll play a crucial role in maintaining the integrity and flow of project documentation..

 

Job Description:

  • Document Coordination: Efficiently compile, maintain, and release control records and related files to support various departments.
  • Accuracy Assurance: Scrutinize documents, including drawings, change orders, and specifications, to ensure they are complete and accurate.
  • Team Collaboration: Work closely with document originators and engineering personnel to resolve any discrepancies and uphold document quality.
  • Record Management: Update computerized or manual control records, release documents, and promptly notify affected departments.
  • File Organization: Keep both hardcopy and electronic files well-organized and easily accessible.
  • Reproduction Handling: Prepare requests for document reproduction and operate reproduction equipment as needed.
  • Database Maintenance: Maintain accurate databases and execute transactions to record the origination and lifecycle of all numbered documentation using our data control applications.
  • Project Documentation: Set up and maintain master document registers for projects using prescribed software.
  • Flow Management: Manage and record the flow of project documentation from internal departments, clients, and suppliers.
  • Archiving: Take charge of project document archiving processes, ensuring all documents are properly stored and retrievable.
  • Adaptability: Embrace the evolving nature of our business by undertaking other similar activities as required.
  • Additional Responsibilities as assigned.

 

 Skill Requirements:

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Strong attention to detail and excellent organizational skills.

Qualifications / Experience

  • One (1)  or more years experience in Administrative / Document Control 
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time management skills
  • Associate's Degree (preferred), High School Diploma, or GED equivalent required
  • Experience working at an engineering company in a similar position is a plus.
