Position Summary:

The Leave Administrator is responsible for developing and maintaining processes for effectively managing all leaves of absence, including those qualifying under the Family Medical Leave Act (FMLA), NYS Paid Family Leave Act (PFL), Workers’ Compensation and/or Short-Term disability, as well as coordinating return-to-work programs and managing reasonable accommodations under the Americans with Disabilities Act (ADA). Reporting to the HR Director, the Leave Administrator will be responsible for administering and monitoring claims, communicating with employees, managers, insurance carriers and healthcare providers, and tracking and reporting on leaves. The position requires the ability to think strategically about managing the leave beyond processing the required paperwork. The Leave Administrator will establish proactive practices designed to improve the employee and manager experience regarding leaves of absence, effectuating positive business outcomes that meet programmatic, and staff needs, and reducing lost work time. As a member of the benefits team, the Leave Administrator will serve as backup or supplement to the benefit specialist as volume, absence or projects necessitate.

Primary Responsibilities and Essential Functions of Position:

  • Remains sensitive and responsive to cultural differences of program participants and staff.
  • Participates in in-service trainings and on-site workshops as required for professional growth and development. Attends external trainings and workshops at direction of management.
  • Represents the organization both within and outside of the work environment in a manner that promotes the mission, vision and values of the agency. Personally, adheres to organizational mission, vision and values, in addition to all other agency policies and procedures.
  • Serves as main point of contact for insurance carriers for Workers’ Comp, Disability and Paid Family Leave.
  • Ensures compliance with Federal and State guidelines as they related to leaves of absence, ADA and workers’ compensation.
  • Responsible for determining eligibility for leaves under FMLA and NYSPFL as well as communicating approvals, denials, return to work and other important information to employees and managers.
  • Escalates issues to the Director of Human Resources in a timely manner.
  • Creates and distributes reports as needed.
  • Evaluates requests for accommodation for disabilities, pregnancy, or religion and initiates and manages the cooperative dialogue process. Documents cooperative dialogue and generates official employer response. Follows up at the end of the accommodation period.
  • Obtains and appropriately manages the handling and maintenance of confidential and sensitive records, including medical information.
  • Composes and sends standard communications to employees regarding the status of leave and requests for updates.
  • Tracks all open leaves and accommodations and plans for timely and proactive follow-up with employees, managers, healthcare providers and insurance carriers.
  • Coach's managers on responses to leave requests as well as timesheet and payroll completion during leaves.
  • Handles discussions with employees and managers with high level of professionalism, sensitivity, compassion and customer service.
  • Serve as backup to benefit specialist in day-to-day benefit management functions as needed during absences, annual enrollment, special projects or when other assistance is needed.
Qualifications

  • Minimum Education: Associate degree or equivalent
  • Preferred Education: Bachelor's degree from four-year college or equivalent
  • Experience: 2 Years

Requirements:

  • Thorough knowledge of the FMLA, NYSPFL, New York Workers’ Compensation and Disability laws, and the ADA as well as other relevant employment laws and regulations such as the EEOC, Title VII, etc.
  • At least two years’ experience managing leaves of absence with demonstrated ability to positively affect leave outcomes.
  • Knowledge of and experience in evaluating employee requests for reasonable accommodations under the ADA or other laws which require them.
  • General knowledge of employee benefit programs including group health and welfare, vision, dental, life, flexible spending accounts, etc.
  • Ability to work under pressure, multitask, meet deadlines and work both collaboratively and independently.
  • Willingness to work outside the scope of the job description and initiative to recommend process improvements within the scope of job responsibilities.
  • Strong emotional intelligence quotient and exceptional customer service and communication skills.
  • Strong experience with MS Word and Excel.
  • Strong experiencing utilizing HRIS Systems, Paycom a big plus!
