POSITION OVERVIEW 

We are currently seeking an experienced Administrative Assistant join our fast-growing STR Mechanical Team. The ideal candidate will have a can-do attitude and strong problem- solving skills, as well as a high level of customer service.

JOB RESPONSIBILITIES 

  • Capable of working and performing all duties in private office
  • Maintain and oversee third party billing
  • Manage and create Purchase Orders
  • Oversee office deliveries and incoming mail
  • Establish and/or maintain systems related to filing, reporting, and database management
  • Answer multiple incoming phone lines
  • Maintaining and responding to email in a prompt and professional manner
  • Greeting visitors, answering a high-volume of incoming phone calls and delivering world-class service to our customers
  • Ensure all ticket/jobs are updated and closed properly

ACCOUNTABILITIES 

  • Achievement of established goals and objectives – safety, financial, cultural, brand reputation 
  • Elite level of customer service, to ensure we continue to be the first call our customers make for their HVAC and mechanical services needs 

ORGANIZATIONAL ALIGNMENT  

This position reports directly to the Branch President.

Qualifications

QUALIFICATIONS 

  • HVAC/mechanical services/construction industry experience, leading and growing successful operations from sales to service. 
  • Financial and analytical skills, and forecasting abilities, strong analytical skills 
  • Demonstrated leadership capabilities includes building and growing a team, resolving issues, developing talent and managing measures of accountability 
  • Proficient with Microsoft Office, particularly with Excel 
  • Knowledge and experience with administration of safety and OSHA guidelines 
  • Technical background in HVAC, Boiler, Refrigeration, and/or plumbing system, desired 
  • Experience reporting and presenting information to executive level management

Ability to read and comprehend written instructions, emails, and business correspondence. Strong written communication skills for drafting emails, reports, and internal documents. Ability to effectively present information in one-on-one and small group settings with employees, customers, and vendors.

Mathematical Skills

Proficiency in basic arithmetic, including addition, subtraction, multiplication, and division. Ability to work with percentages, ratios, and basic financial calculations. Comfort with spreadsheets and data entry for tracking expenses, reports, and administrative tasks.

Reasoning Ability

Strong problem-solving skills with the ability to follow written, verbal, or visual instructions. Ability to prioritize multiple tasks, manage deadlines, and adapt to changing priorities. Attention to detail and sound judgment in handling confidential information.

Physical Demands

While performing the duties of this role, the employee is regularly required to sit, use hands for typing and office-related tasks, and communicate clearly. The employee may occasionally need to stand, walk, or lift office materials up to 25 pounds. Vision requirements include close vision for computer work and the ability to adjust focus.
