CPT-9056 Dental Office Virtual Assistant

REQUIRED SERVICE: Telehealth Support VA
REQUESTED EXPERIENCE TIER LEVEL: Junior
MIN. HOURS/WEEK: 32 hours to start
SHIFT TIME ZONE: PST
SHIFT HOURS: between 830am to 530pm ; 9am to 1pm (Friday only)
SHIFT DAYS: Monday-Friday

We are a busy dental practice located in California looking to onboard a reliable, experienced, and proactive Virtual Dental Office Assistant to support our front desk operations. The ideal candidate will have a background in the dental field and be proficient in Dentrix dental software.

Responsibilities
  • Insurance Verification: Contact insurance providers via phone to verify patient coverage and benefits.
  • Appointment Scheduling: Manage scheduling of patient appointments using Dentrix.
  • Inbound/Outbound Calls: Answer phone calls, route messages, and assist patients with inquiries.
  • Email Communication: Respond to patient emails and follow up on scheduling or documentation needs.
  • Daily Coordination: Participate in virtual morning huddles, assist in managing the daily patient schedule, and review treatment plans or special patient notes.
  • Team Integration: Function as an integral member of the in-office team despite being remote.
  • Occasional Billing Assistance: Though a billing company currently handles billing, prior experience in dental billing is considered a plus and may be needed in the future.
Qualifications
  • Prior experience working in a dental office (minimum 1 year).
  • Proficient in Dentrix practice management software.
  • Excellent communication skills (spoken and written English).
  • Reliable internet connection and backup power/internet source.
  • Comfortable using VoIP systems (experience with Mango, RingCentral, or similar is a plus).
  • Ability to work independently, manage time effectively, and stay organized.
  • Experience participating in team huddles and treatment plan coordination.
  • Experience with dental billing, claims follow-up, and patient statements.
  • Familiarity with US dental office workflows and HIPAA compliance.
