Brief Description
The Harris Center for Mental Health and IDD (“The HARRIS CENTER”) is looking for a
Administrative Assistant II to join our team. Under the general direction of the designated supervisor, the Administrative Assistant performs a combination of clerical tasks to support service delivery or administrative operations. Duties include maintaining records, receiving, preparing, or verifying documents, searching for and compiling information and data, responding to routine requests and using judgment and initiative (with supervisory consultation) to determine necessary response/action in non-routine situations.
What You Will Do
- Produces and proofs correspondence, documents, and other related forms. Maintains files according to organizational/departmental procedures.
- Receives and screens visitors and telephone calls, and either notifies staff members or records and relays messages.
- Plan, organizes, and distributes supplies as needed.
- Processes incoming /outgoing mail according to organizational/departmental procedures.
- Resolves customer requests, complaints, and problems or refers them appropriately.
- Maintains an effective workflow system of assigned area. Resolves administrative issues and flags issues that require immediate attention by management.
- Act as back up to the Executive Director’s office.
- Acts as back up to the Board Recording Secretary.
- Assists Director of Development with data entry, research and general office duties.
- Maintains professional behavior and provides excellent customer service to both staff and consumers. Demonstrates ethical conduct, professionalism, and confidentiality in all activities. Complies with Agency policy and procedures.
- Adapts to changing working requirements. Flexible to meet ongoing needs of the Agency.
- Contributes to suicide care and prevention by embracing our values and applying a trauma-informed approach rooted in safety, trust, choice, collaboration, and empowerment.
Education
What qualifications you will need:
- High School Diploma or general education degree (GED).
Experience
- Three (3) years general clerical experience.
Other Key Qualifications
- Valid Texas Driver’s License required.
Required Knowledge, Skills & Abilities
- Must be able to demonstrate proficiency in Microsoft Word and Excel.
- Requires typing speed of 50 wpm and must pass all clerical support skills test at a minimum average of 50 or above.
- Good interpersonal and public relation skills.
- Solid analytical, creative and problem solving abilities.
- Project management skills and well organized.
- Able to work well independently.
