SUMMARY OF DUTIES

Performs various administrative tasks as an assistant to the Sales Director Nordics, and the Nordics Sales Team.

Tasks and Responsibilities

The Administrative Assistant for the Nordics Region handles all administrative tasks to support the Regional Sales Director and the Nordics team. These tasks are:

  • administration and support for the Nordics Car fleet.
  • Can co-travel to customers with team members.
  • Works on MI-Files and administrates according requirements.
  • Coordinates meetings and congresses, internally and externally.
  • Screens telephone calls, visitors, and incoming correspondence.
  • Responds to requests concerning office procedures and determines which requests should be handled by the Department Head or other personnel.
  • Schedules tentative appointments without prior clearance and makes arrangements for meetings and conferences and assembles materials.
  • May attend meetings and record and report on the proceedings.
  • Reviews outgoing materials and correspondence for internal consistency and conformance with supervisor's procedures.
  • Assures that proper clearances have been obtained, when needed, for various tasks or communication.
  • Collects information from files or staff for routine inquiries on staff programs or periodic reports and refers non-routine requests to supervisor or appropriate staff.
  • Coordinates various personnel and administrative forms for the office and forwards them for processing.
  • Performs other related duties and tasks as required.

SUMMARY OF MINIMUM QUALIFICATIONS

  • Education equivalent to a High School Diploma with one year previous administrative experience.
  • Demonstrated computer skills preferably all MS Office programs, database and other applicable software programs. Knowledge of AI and it's applications
  • Excellent organizational skills and the ability to coordinate and maintain filing and office systems.
  • Strong interpersonal skills and the ability to communicate well, verbally and in writing, with others.
  • Native Swedish, Norwegian, Finnish or Danish, and Fluent in English
  • Proven ability to streamline processes and improve efficiency.
