About the Opportunity
Responsibilities:
• Coordinate and assemble compelling responses to Requests for Proposals (RFPs) and qualifications packages in partnership with attorneys, proposal managers, business development managers, and other internal stakeholders
• Conduct thorough research to gather accurate and relevant information required for proposals
• Organize and manage multiple proposal projects simultaneously while meeting deadlines
• Edit and proofread documents to ensure clarity, accuracy, and readability, identifying and correcting errors or omissions
• Ensure all materials adhere to firm-approved formats, templates, and style guidelines to maintain brand consistency
• Compile and incorporate necessary assets, such as photos and logos, into final proposal documents
• Prepare completed materials for client submission and archive final documents for internal records
• Track all proposals and pitches through internal systems and ensure accurate filing in designated repositories
• Maintain and update a growing archive of reusable boilerplate materials for use in future proposals
• Design and update brochures, flyers, signage, and other firm-branded materials for practice and industry groups
• Collaborate with practice group team to revise content, ensure design alignment with firm standards, and publish materials on internal resource pages
• Create custom handouts, flyers, and visual materials for specific topics, events, or client needs as requested
• Design and layout recurring newsletters and marketing postcards, ensuring brand and content consistency
• Prepare final versions for printing and mailing coordination
• Track advertising requests, art due dates, and submission timelines
• Design advertising materials, secure necessary approvals, and submit completed assets by deadline
• Maintain a well-organized archive of all past advertising submissions
• Provide proofreading, design, or event support to the broader marketing team as needed, contributing to a collaborative work environment

Warner Norcross + Judd is seeking an Proposal Coordinator to join our Business Development + Marketing team in Grand Rapids or Detroit. This role supports the Firm's business development and marketing efforts through a blend of proposal coordination and creative design.
