Assistant Project Manager Job Description

Role Overview

Noble 33 is a premier national restaurant group dedicated to delivering exceptional dining experiences through innovative design and operational excellence. The Assistant Project Manager plays a pivotal role in supporting the team through organized data management, financial oversight, and administrative assistance, ensuring that projects run smoothly and efficiently.

Key Responsibilities

  • Schedule and coordinate meetings for the development team, including preparing agendas, distributing meeting materials, and taking minutes during meetings.
  • Act as the primary point of contact for vendors and consultants for administrative matters, ensuring smooth communication and the timely resolution of any issues.
  • Implement and maintain a document control system to ensure that all project-related documents are properly filed, accessible, and up-to-date.
  • Assist in the adoption and implementation of new technologies and software solutions within the development team, helping to streamline processes and increase efficiency.
  • Support the creation of regular project status reports by gathering necessary data and formatting reports.
  • Create and maintain project analytics, including cost breakdowns and forecasting, to provide valuable insights for the development team.
  • Regularly update project budgets with proposals, contracts, invoices, additional services, and change orders as directed by team members.
  • Monitor invoice amounts, flag discrepancies, and escalate issues as needed to ensure accuracy in payments.
  • Collaborate with the finance department to set up consultants and vendors in the payment system, ensuring timely and accurate payments.
  • Prepare weekly draw requests for review and approval by the Executive Director, ensuring all necessary documentation is included.
  • Assist with additional administrative tasks as requested by department team members, contributing to the overall efficiency and success of the development projects.
  • Arrange travel, accommodations, and logistics for team members attending site visits or out-of-town meetings.
  • Assist the Executive Director of Development with additional tasks as required.

Minimum Requirements

  • 2-4 years of related experience
  • Strong time management skills with the ability to prioritize tasks effectively.
  • Self-starter with strong follow up skills that can identify and resolve problems in a timely manner.
  • Proficient in computer applications, including Microsoft Office Suite.
  • Exceptional organizational skills with keen attention to detail.
  • Strong clerical skills with experience in managing files and records efficiently.
  • Excellent proof reading abilities to ensure high-quality documentation.
  • Ability to work independently as well as part of a team.

Physical Abilities

  • Ability to sit for extended periods of time.
  • Required to type, use a mouse and handle paperwork.
  • Have visual acuity such as reading screens, documents, and spreadsheets for long periods of time.
  • Must be able to lift 15 pounds at a time.
