Office Description

The Office of Language Access (OLA) is expanding its web-based presence to better serve NYC Public Schools (NYCPS) staff, advocates, and families. We are looking for motivated undergraduate interns to support our communication initiatives.

Internship Responsibilities

Digital Publications Intern:

  • Contribute to creating templated responses to multilingual inquiries.
  • Organizing and documenting inquiries and outcomes.
  • Support with creating, editing, and management of automated workflows and internal “how-to” guides.
  • Assist with file and folder management, including document libraries, URLs, naming conventions,formatting, uploading, and storage.
  • Collaborate with staff to update web-based content (InfoHub, family website, SharePoint).
  • Research and document HTML, CSS, and JavaScript coding for web-based platform formatting.
  • Contact platform owners or vendors to confirm settings, limitations, and expansion plans.
  • Maintain confidentiality of all school and district records.

The Digital Publications Interns will work closely with the Planning and Implementation Analyst and Special Projects Coordinator to ensure consistency in multilingual messaging, file/folder naming, and website presence. This includes identifying discrepancies and ensuring accessibility and accuracy in OLA communications before they are shared with schools and families.

Language Access Compliance Intern

  • Review and evaluate school-based LTI Plans using a standardized rubric.
  • Identify strengths and areas for improvement in submitted plans.
  • Provide clear, constructive written feedback for schools based on rubric criteria.
  • Track and document trends, common issues, and exemplary practices across plans.
  • Support internal quality assurance processes for LTI Plan reviews.
  • Participate in training and calibration sessions to ensure consistency in scoring.
  • Collaborate with staff to refine feedback and support materials for schools.
  • Maintain confidentiality of school submissions and internal review notes.
  • Contribute to team discussions on patterns and recommendations for system-level improvement.
  • Assist with preparation of summary reports or presentations as needed.

The Language Access Compliance Intern will experience a meaningful, hands-on learning experience that deepens undergraduate interns' understanding of language access in NYC public schools.

Translation Program Support Intern

Central Resource Development

  • Audit Translated Materials: Compile a master inventory of existing central documents and identify which are missing in the 3 new languages.
  • Editable File Recovery: Locate editable versions (Word, PPT, InDesign) of translated PDFs or materials marked for expansion.
  • Template Preparation: Support formatting and linguistic integration of consent forms, family letters, and other DOE templates into the 3 additional languages.

Platform Readiness Review

  • Platform Inventory: Identify internal and external platforms used to share, manage, or request translations (e.g., InfoHub, Translations Portal, Microsoft Forms, robocall tools).
  • Capability Assessment: Document each platform’s current ability to support 12 languages, noting font/script issues, character limits, or missing configurations.
  • Stakeholder Outreach: Contact platform owners or vendors to confirm settings, limitations, and expansion plans.
  • Reporting: Create a summary of recommended action steps.

As part of the DOE's planned expansion from 9 to 12 covered languages, Translations Program Support Interns will play a key role in helping the Office of Language Access (OLA) consolidate, organize, and scale translated resources. This includes identifying existing translated documents, locating editable source files, and working with the Language Services and Project Management teams to adapt core materials into the three newly supported languages. The Translation Program Support Intern

Will have hands-on opportunity to learn how policy implementation and multilingual content development come together in a large public agency.

Qualifications/Special Skills/Area Of Study

Digital Publications Intern

  • Currently enrolled in undergraduate coursework in Communications, Linguistics, Web Design, or related fields
  • Exceptional attention to detail and organizational skills.
  • Experience with document formatting in PowerPoint, Word, PDF, and image files.
  • Strong written communication skills with an ability to communicate clearly and concisely Interest in language access, education, equity, or public service.
  • Comfort with independent work and asking questions to clarify workflow.
  • Passion for public service and making a positive impact in education and community engagement.

Language Access Compliance Intern

  • Undergraduate coursework in Education, Public Policy, Linguistics, Bilingual Education, or related fields.
  • Interest in language access, multilingual education, or educational equity in public schools.
  • Strong analytical and critical thinking skills; experience using rubrics or evaluative tools is helpful.
  • Clear and professional written communication skills.
  • Strong attention to detail and ability to identify patterns or inconsistencies.
  • Ability to work independently and meet deadlines.
  • Familiarity with or fluency in a language other than English (preferred but not required).
  • Commitment to public service, education, or social justice

Translation Program Support Intern

  • Undergraduate coursework in Communications, Public Policy, Linguistics, Design, or related fields.
  • Strong organizational and research skills.
  • Experience working with Word, PowerPoint, and basic file structures.
  • Familiarity with translation or DTP processes (preferred but not required).
  • Interest in multilingual equity, education, or language access policy
