The Finance and Logistics Coordinator supports the Controller by providing critical assistance across finance, accounting, inventory management, and logistics operations.
This hybrid role blends detailed office work with physical, hands-on tasks, ensuring the smooth and accurate flow of financial data and wine shipments. The position embraces the use of AI tools and aligns with our company's Market-Based Management (MBM) philosophy: creating long-term value, acting like an owner, and seeking personal growth through principled action.
Key Responsibilities
Finance and Accounting Support (60%):
Process and reconcile accounts payable, employee reimbursements, and vendor payments.
Assist with customer invoicing, accounts receivable, and posting payments in QuickBooks.
Support the monthly close process: bank reconciliations, journal entries, account coding.
Maintain accurate vendor and customer records.
Compile internal reports on cash flow, A/P aging, and customer balances.
Assist the Controller in preparing tax filings, including sales and excise taxes.
Use WineDirect, VinoSmith, Innovint, and Excel for data validation and reporting.
Leverage AI tools (e.g., ChatGPT, Excel AI features) to improve workflows and reporting accuracy.
Shipping, Inventory, and Logistics Support (40%):
Coordinate DTC, distributor, and event orders via WineDirect and Copper Peak Logistics.
Physically prepare, box, and ship wine orders not handled through 3PL partners.
Organize, maintain, and transfer inventory between warehouse and tasting room spaces.
Perform regular and cycle inventory counts; reconcile discrepancies with accounting systems.
Prepare shipping documentation: labels, packing slips, BOLs, and compliance paperwork.
Communicate proactively with Copper Peak Logistics and carriers to resolve delivery issues.
Maintain neat and orderly shipping and storage areas to ensure efficient operations.
Required Skills And Qualifications
2+ years experience in accounting, logistics, administrative support, or related fields.
Solid understanding of basic accounting (debits/credits, reconciliations, reporting).
Hands-on shipping/logistics experience, preferably including physical order fulfillment.
Strong Excel skills; ability to build and work with spreadsheets and formulas.
Comfortable using or learning WineDirect, VinoSmith, Innovint, QuickBooks, and ChatGPT.
High level of personal organization and accuracy in detailed tasks.
Ability to lift up to 40 pounds (cases of wine, shipping materials).
Experience in wine, beverage, or small manufacturing environments.
Understanding of DTC wine shipping regulations and compliance best practices.
Familiarity with warehouse organization and shipping systems like ShipCompliant or equivalent.
Associate's or Bachelor's degree in Accounting, Business, Supply Chain, or related field a plus.
