  • Schedule project meetings, prepare agendas and minutes, and assist in preparing project reports for stakeholders.

Job description

We seek a detail-oriented and highly organised Project Coordinator to support our project management team in the signage and fabrication industry. The ideal candidate will assist with project documentation, scheduling, and coordination between internal teams, clients, and vendors. This role requires strong organisational skills, familiarity with design drawings, and the ability to efficiently manage submittal logs and project schedules.

Must Haves

  • 2+ years of experience in project coordination, construction administration, or a related field (signage/fabrication industry experience is a plus).
  • Familiarity with design drawings, shop drawings, and construction documentation.
  • Strong organisational and time-management skills with the ability to multitask.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and project management tools (e.g., MS Project, Smartsheet, or Procore).
  • Excellent communication skills (written and verbal) for coordinating with teams and clients.
  • Detail-oriented with a problem-solving mindset.
  • Ability to work independently in a remote (EST-friendly) environment.

Responsibilities

Project Documentation & Coordination

  • Assist the project team in organising and maintaining project files, including drawings, permits, and submittal logs.
  • Track and update project schedules, ensuring deadlines are met.
  • Communicate with clients, vendors, and internal teams to ensure smooth project execution.

Drawing & Submittal Management:

  • Review and distribute design drawings, ensuring accuracy and compliance with client specifications.
  • Maintain submittal logs, tracking approvals, revisions, and deadlines.
  • Coordinate with designers, engineers, and fabrication teams to resolve discrepancies.
  • Administrative Support:
    Schedule and document project meetings, including preparing agendas and minutes.
  • Assist in preparing project reports and status updates for stakeholders.
  • Help manage project-related purchase orders and invoices.

Quality Control & Compliance:

  • Ensure all project documentation adheres to company and industry standards.
  • Follow up on pending approvals and action items to avoid delays

  • Job Timings: Night shift following US EST (Night Shift)
  • Office location: Off to Shahrah-e-Faisal, PECHS, Karachi
