The Benefits and Payroll Manager is responsible for overseeing and administering the organization’s employee benefits programs and payroll processes. This role ensures compliance with all applicable laws and regulations, provides excellent support to employees, and manages vendor relationships. The ideal candidate will have strong attention to detail, a deep understanding of HR and payroll systems, and a proactive approach to process improvement.
Key Responsibilities:Payroll Administration
Manage and process the organization’s payroll on a bi-weekly basis, ensuring accuracy and compliance with federal, state, and local laws.
Maintain and update payroll records, including new hires, terminations, promotions, and changes in employee status.
Coordinate with accounting and finance teams to reconcile payroll and ensure accurate reporting.
Ensure timely and accurate tax filings and reporting.
Address and resolve employee payroll-related inquiries in a timely manner.
Benefits Administration
Oversee and administer employee benefits programs including health, dental, vision, life insurance, disability, FMLA/LOA, OSHA, 401(k)/retirement plans, and wellness initiatives.
Manage annual open enrollment process and coordinate employee communications and education efforts.
Partner with benefits vendors and brokers.
Ensure compliance with ERISA, HIPAA, COBRA, ACA, and other applicable federal and state regulations.
Process benefit enrollments, changes, and terminations in a timely and accurate manner.
HR Operations & Compliance (10%)
Maintain and audit employee records and HRIS data for accuracy.
Develop and maintain policies and procedures related to payroll and benefits.
Conduct internal audits to ensure compliance and identify areas for improvement.
Support HR projects and initiatives as needed.
Pre-Employment Onboarding and Post Employment Offboarding
Administer onboarding process for new hires, including background checks, credit checks and pre-employment physical testing.
Ensure all necessary paperwork and documentation is completed and compliant.
Facilitate offboarding procedures such as final payroll, benefits termination, and appropriate department notifications.
Collaborate with IT and Facilities for equipment issuance and retrieval.
Executive Assistant Support
Provide administrative support to senior executives including calendar management, travel arrangements, and meeting coordination.
Prepare reports, presentations, and correspondence as needed.
Handle sensitive and confidential information with discretion.
Coordinate logistics for leadership meetings, board meetings and offsite events.
Qualifications:Education & Experience
8+ years of experience in payroll and benefits administration.
5+ years of experience with ADP Workforce Now.
Experience managing vendors and brokers.
Skills & Competencies
Strong knowledge of payroll and benefits regulations (FLSA, ACA, COBRA, ERISA, etc.).
Exceptional attention to detail and organizational skills.
Excellent analytical, problem-solving, and communication skills.
Ability to handle confidential information with discretion.
Proficient in Microsoft Office Suite, particularly Excel and PowerPoint.
