Developers and owners no longer need to run building wiring or install in-unit hardware. Property managers can grant building access, revoke permissions, and review entry logs from an online dashboard. The Executive Assistant will play a crucial role in supporting our management team. This is an excellent opportunity to make a significant impact at the organization. Responsibilities

  • Provide high-level administrative support to our executive team, including calendar management support, booking travel arrangements, and expense reporting.
  • Manage confidential and sensitive information with discretion.
  • Act as the point of contact between executives and internal/external stakeholders.
  • Oversee board communication, including scheduling meetings, preparing board materials, and ensuring timely follow-ups on action items.
  • Prepare and edit documents, presentations, and reports.
  • Assist with special projects, company initiatives, and cross-functional team coordination.
  • Organize and attend meetings, ensuring accurate minutes and follow-ups.
  • Coordinate office events, team meetings, and executive offsites.

Requirements

  • 3-5+ years of experience in executive support, office management, or a similar role in a fast-paced environment.
  • Proactive with a problem solving mindset to “get stuff done”.
  • Approachable personality with the ability to communicate well with all levels of the organization. 
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proficiency in Google Workspace, AI, and project management tools.
  • High level of discretion, professionalism, and problem-solving ability.
  • Ability to work independently and adapt to a dynamic work environment.
  • Proven experience with leveraging AI tools in both professional and personal settings. ButterflyMX is an AI-forward organization and the ability to optimize efficiency using AI is crucial in every role.
