Job description

This is a remote position.

Job Title: Operations Coordinator
Location: Remote (Work hours aligned to Sydney AEST)
Schedule: Monday to Friday, 9:00 AM – 5:00 PM AEST (30-minute unpaid break; 37.5 hours per week)

About the Role
We are seeking a proactive and detail-oriented Operations Coordinator to support the execution of our marketing operations, customer support workflows, and online community management. This role is ideal for someone who thrives in a dynamic environment, enjoys wearing multiple hats, and excels at bringing order to moving parts.

You’ll collaborate closely with marketing, customer service, and community teams to ensure campaigns run seamlessly, customers are supported efficiently, and our online communities remain engaged and informed.

Key Responsibilities

1. Marketing Operations Execution
  • Assist in building, scheduling, and quality-checking email campaigns and chatbot flows using platforms like Klaviyo, ActiveCampaign, and ManyChat.
  • Help manage marketing calendars, asset libraries, and checklists to ensure timely execution.
  • Coordinate campaign logistics including content uploads, segmentation/tagging, and testing.

2. Customer Support Coordination
  • Monitor and respond to customer inquiries across email, chat, and social media DMs via designated support platforms.
  • Triage support issues and FAQs, escalating when necessary.
  • Maintain help center documents, SOPs, and pre-written response templates.

3. Community Management Support
  • Actively moderate and engage across our community platforms such as Facebook Groups, Discord, and Circle.
  • Schedule content, reply to member queries, and spark meaningful conversation.
  • Track engagement trends and collect feedback for internal reporting.

4.Data Tracking & Administrative Support
  • Compile and maintain data on marketing campaigns, support tickets, and community activity.
  • Maintain trackers and dashboards to support performance analysis and reporting.
  • Assist in documenting processes and suggesting improvements to optimize workflows.

Requirements
  • 1–3 years of experience in a coordination, support, or operations role in marketing, digital products, or online communities.
  • Working knowledge of email marketing platforms (e.g., Klaviyo, ActiveCampaign), chatbot tools (e.g., ManyChat), and CRMs.
  • Excellent written communication and strong organizational and task management skills.
  • Ability to work independently, manage priorities, and adapt to a fast-paced environment.
  • Proficiency in Google Workspace and familiarity with tools like Asana, ClickUp, Google Sheets, or Airtable.
Nice to Have
  • Experience with customer support tools (e.g., HelpScout, Zendesk, Gorgias).
  • Familiarity with basic automations using tools like Zapier, Loom, or Notion.
  • Basic graphic editing skills using Canva or similar platforms.
