About the position:

The Senior Associate, AEMEA will provide critical support across the new AEMEA division and the Americares India Foundation. This support includes supporting effective communication, administration, and communication needs of AEMEA HQ and AIF programs to ensure strong internal operations that advance our mission of helping people and communities around the world access health in times of disaster and every day.

Key Outcomes:

In the first 90 days, the Senior Associate will:

Learn and live the Americares values.

Complete all required new hire onboarding trainings.

Understand Americares’ AEMEA regional strategy, project cycle, team structure, and key stakeholders across HQ and country office.; develop understanding of AIF program portfolio.

Review and become familiar with project trackers, budget tools, SharePoint, and reporting templates.

Complete onboarding with FP&A, Technical Unit, and Humanitarian Programs teams to understand systems and workflows.

Set up regular check-ins with AEMEA HQ and AIF colleagues to align on priorities and expectations.

Begin supporting administrative tasks such as meeting scheduling, note-taking, document drafting, and task tracking.

Take ownership of updating existing project trackers, developing new trackers (as needed), and managing key deadlines for AEMEA HQ and AIF teams.

Start to monitor documentation and expenses in ERPx financial systems and share information with VP, AEMEA

In collaboration with key stakeholders, streamline SharePoint organization and propose improvements for knowledge management for AEMEA.

Support donor reporting, internal updates, and meeting materials preparation with content drafting and editing; ensure all donor reports meet requirements for submission and upload to relevant systems or portals.

Contribute to annual budgeting coordination, template development, and cross-team collaboration to improve efficiency

In the first 6 months, the Senior Associate will:

Duties and Responsibilities:

  • Lead project support for HQ AEMEA teams, executing administrative tasks throughout the full project cycle management process.
  • Provide project administrative coordination for the Americares India Foundation HQ work, in partnership with country office team members; support AIF program coordination with AEMEA HQ team, Humanitarian Programs, Development, Technical Unit and operational teams to strengthen in country planning, programming, fundraising, and operations.
  • Track project deadlines, create and maintain trackers, and support the AEMEA teams in meeting deliverable requirements.
  • Support AEMEA HQ and country teams in preparing program updates and reviews, as well as general program materials.
  • Lead budget administrative support for HQ AEMEA teams; submit and track AEMEA documentation, invoices, and expenses in HQ financial systems; run reports and assist with reclasses; partner with Financial Planning & Analysis (FP&A), AEMEA HQ and country teams to provide more accurate and efficient annual budget process communication and documentation.
  • Organize, update, and track AEMEA documentation on SharePoint, maintaining and enhancing effective knowledge management systems.
  • Facilitate reporting for donors, providing critical review and editing of reports and supporting documents, ensuring effective communication of data, progress, needs, successes, challenges, and more.
  • Provide AEMEA HQ team administrative support including drafting routine documents, organizing meetings, taking minutes, providing follow-up to actionable items in meetings, and additional tasks as needed.
  • Prepare information for staff to use with internal and external audiences, including fact sheets, training, and presentation materials.
  • Ensure that AIF teams receive support from headquarters for annual reports, marketing materials, etc.
  • Provide research support to team members for business development, program quality, and other contexts.
  • Other duties and responsibilities as assigned

Degrees and/or experience required for the role:

Bachelor’s degree and 3 years of experience in the global development and/or global public health sector

OR master’s degree and 1 year of experience in the global development and/or global public health sector

These competencies are required for the role:

Demonstrated attention to detail and organizational skills

Proven skills in coordinating teams and projects effectively

Demonstrated cultural experience and competency within countries and/or regions where Americares works in AEMEA

Advanced proficiency in MS Office Suite (particularly excel and word)

Strong written communication and reporting skills

Familiarity with donor requirements and business development

Ability to work in Eastern time as well as hours that align with India and Philippine Standard Time.

Ability to travel internationally up to 15%

US work authorization is required for this role.

These competencies would be great to have, but are not required:

  • Fluency in languages that are spoken in at least one of our AEMEA core locations (India, Philippines,Tanzania, etc. ) in addition to English).
  • Experience in design, such as creating infographics and compelling visual materials
