Key responsibilities:

  • Support the Chief Executive and Chief Financial Officers by managing their schedules and minimizing time spent on emails and meetings.
  • Attend meetings and provide summaries for review, while also handling logistics for off-site management meetings.
  • Manage travel arrangements and process expense reports for direct reports.
  • Provide general administrative support to other employees, including meeting coordination and support for employee events.

Your Role: 

  • Support the Chief Executive and Chief Financial Officers to enhance their effectiveness by providing critical support.  
  • Manage the schedule and minimize time spent on email, meetings/calls. 
  • Respond and handle emails and other work where possible. 
  • Attend meetings and provide summaries for review as requested. 
  • Review and approve expense reports for direct reports. 
  • Handle and manage all travel arrangements (air, hotel, transportation, itinerary). 
  • Handle all logistics for off-site management meetings.  
  • Work closely with the Chief of Staff to support the President & Co-CEO. 
  • Process expense reports. 
  • Provide general administrative support to other employees, such as meeting coordination and scheduling, travel arrangements, and teambuilding events. 
  • Provide support and coordination of employee events as needed. 
  • Conduct all business in accordance with Intradiem policies and procedures. 
  • Perform all other duties as assigned. 

Your Background:  

  • Experience working at the Executive Assistant level with senior management and senior-level clients, preferably at the Board level. 
  • Ability to manage complex and highly confidential information. 
  • Comfortable working autonomously and across multiple tasks. 
  • Extremely accurate and detail-oriented. 
  • Knowledge of advanced MS Office applications, including Word, Excel, PowerPoint, and Outlook. 
  • Excellent social skills, able to operate with diplomacy, tact, and empathy. 
  • Has a high degree of personal organization, self-management, and resourcefulness. 
  • Able to work independently and think proactively. 
  • Comfortable when working to tight deadlines, and able to turn work around within a short time span where demands are liable to change at short notice.
