Job description

As an Associate Director, Congress Strategy & Operations, you will serve as a subject matter expert and strategic partner driving our Medical Affairs Congress presence. We work in a matrix organization, collaborating with Medical Affairs, Patient Advocacy, Commercial, Clinical Development and others. The primary responsibility is to manage our internal and external Medical Affairs meetings, convention and congress management. This includes leading our production teams, budget creation and reconciliation, and contract negotiations. 

This position is a remote position. Must be able to travel 50% of the time, both domestic and international travel. 

A typical day may include the following: 
•    Serving as a dedicated strategic partner that supports Medical Affairs at Internal and external meetings (Global Medical Communications Annual Meeting). This also includes: Convention/Congress management, medical association contacts, sponsorship, exhibit space, advertising, housing, registration, and meeting space 
•    Leads daily operations of outsourced meeting planners responsible for delivering pharmaceutical events ensuring their accountability, and produce relevant metrics. 
•    Logistics planning: establish invitation/registration procedures, assess risk management to insurance and operation’s needs, and exhibitor booth assignments/setup process. 
•    Manage supplier partners and internal support areas to ensure quality and timely delivery of in-scope program elements
•    Oversee annual budget development and tracking of meetings and conventions 
•    Ensure compliance by adhering to corporate policies and procedures related to company-sponsored events
•    Develop and maintain relationships with collaborators and communicate in an appropriate manner
•    Conduct after action reviews to improve process and execution

•    Have the ability to create, communicate and influence the decision making of clients, peers, and other key internal customers
•    Can demonstrate strong customer services skills with ability to deliver on internal team members meeting goals and objectives
•    Strong project management skills often managing multiple pressing priorities and working to challenging and changing timelines
•    Strong negotiation skills in all areas of event budgets
•    Knowledgeable of Meeting Management software: Cvent, Concur 

To be considered, you must hold a Bachelor's degree with a minimum 10 years' related pharmaceutical industry experience. Your experience must include: strategic meeting planning experience with implementing both virtual and face-to-face meetings ranging from Advisory Boards, Congresses to Field Meetings. Management of an outsourced vendor for supplemental meeting management support. Certified Meeting Professional (CMP) and Healthcare Meeting Compliance Certification (HMCC) is preferred. This position is a remote position. Must be able to travel 50% of the time, both domestic and international travel.

Salary Range (annually)

$154,800.00 - $252,800.00
