Job description

We are looking for an IT Accounts Receivable (A/R) Collection & Billing Specialist who is responsible for managing the billing and collection processes for IT services or products. This role ensures accurate invoicing, timely payment collection, and effective resolution of billing discrepancies, supporting the financial health of the organization.

Key Responsibilities

  • Maintain and update billing systems to ensure accurate invoicing for IT services or products
  • Generate and send out invoices, ensuring all revenue-generating activity is properly captured and documented
  • Review and reconcile billing data, including manual tickets and system entries, to identify and resolve gaps or inconsistencies
  • Monitor accounts receivable ledgers and ensure all payments are accounted for and properly posted
  • Conduct collection calls and emails to follow up on past-due invoices, negotiate payment plans, and resolve disputes
  • Investigate and resolve customer billing disputes and discrepancies, collaborating with internal IT and finance teams as needed
  • Track, process, and resolve exception billing promptly, maintaining accurate records of all billing and collection activity
  • Provide guidance and training to IT and field staff on proper billing documentation and procedures
  • Prepare and review aging reports, escalate delinquent accounts, and minimize financial risk
  • Use accounting and CRM software to manage accounts receivable and streamline collections processes
  • Support month-end closing processes and provide regular updates to management on collections progress and outstanding balances
  • Ensure compliance with company policies, contractual obligations, and industry regulations
  • Communicate effectively with customers and internal teams to resolve billing or payment-related issues

Required Skills and Qualifications

  • 1–3 years of experience in billing, accounts receivable, or collections, preferably in an IT or technology environment
  • Strong analytical skills and attention to detail, with the ability to identify and resolve discrepancies quickly
  • Proficiency in Microsoft Excel and accounting software (e.g., SAP, NetSuite, QuickBooks); experience with PeopleSoft is a plus
  • Excellent communication and interpersonal skills for interacting with clients and internal teams
  • Ability to manage multiple priorities in a fast-paced environment and meet deadlines
  • High school diploma required; associate’s or bachelor’s degree in accounting, finance, or a related field preferred
  • Customer service experience and a proactive, problem-solving mindset

Desirable Attributes

  • Experience with IT service billing or software licensing invoicing
  • Knowledge of industry-specific billing and collection guidelines
  • Ability to work both independently and collaboratively within a team
  • Must know Ramp.com, cash flow management, also have a technical background and understand our business and software
