Job Summary

The Contracts Administrator is an integral member of the Operations Team and interfaces with multiple departments within the firm. This role provides administrative and contract support for both client and subcontractor agreements. The successful candidate will demonstrate effective teamwork, organizational discipline, and problem-solving abilities while meeting deadlines.

The Contracts Administrator will rely on instructions and pre-established guidelines to perform the functions of the job.  This person will work under immediate supervision. 

The Contracts Administrator will communicate and operate in line with organizational goals and values, as well as departmental objectives. 

Essential Functions

Contract Administration (70%)

  • Create contracts using standard templates for clients, subcontractors and vendors; flag non-standard terms for review by senior staff or legal counsel
  • Track contract timelines, deliverables and basic compliance items; support the population and maintenance of client portals with current documentation and certifications under guidance
  • Communicate with internal stakeholders to gather contract data, clarify project scope or deliverables, and ensure timely document submission; escalate issues to senior team members or supervisors as needed
  • Maintain accurate and up-to-date records 
  • Use contract management software or shared platforms to store and organize contract files
  • Assist with compliance items as required 

Reporting, Audit and Continuous Improvement (15%)
  • Support internal or external audits by providing requested contract documentation and explanations
  • Identify opportunities to streamline contract workflows and improve turnaround times
  • Maintain and update contract templates and standard operating procedures 

General Staff Support (15%)
  • File management
  • Word processing, proofreading, spreadsheet and data entry and reporting
  • Assist with proposal development and production process 
  • Assist and track document requests, including policy and procedure updates
  • Completion of Assigned Tasks and Deliverables on Time and on Budget
Performs Other Related Duties as Assigned

Requirements
Position Requirements (Intermediate level for all the following unless otherwise noted)

  • Knowledge of contract development and administration processes for clients and subcontractors within a professional services or engineering firm
  • Knowledge of risk management principles and standard contract terms, including indemnification, insurance and limitation of liability
  • Knowledge of contract lifecycle stages and supporting documentation (e.g., certificates of insurance, W-9s, exhibits, amendments)
  • Basic understanding of insurance certificates, licensing or subcontractor documentation to support vendor agreements
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology
  • Demonstrate continued and progressive knowledge of administrative tasks required for an engineering firm
  • Advanced skill in using MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams)
  • Skill in using contract management systems (or shared drives/platforms) to reflect evolving digital workflows.
  • Skill in completing assignments accurately and with attention to detail
  • Skill in typing with minimal errors
  • Ability to maintain confidentiality and handle sensitive information 
  • Ability to work successfully in a remote environment thru effective communication and organizational skills, self-motivation, proactiveness and resourcefulness in a distraction free workspace
  • Ability to maintain neat, orderly, complete documents and project files
  • Ability to analyze and prepare documents, reports and correspondence
  • Ability to communicate effectively in both oral and written form (technical and non-technical information) 
  • Ability to work successfully as a member of a team and independently with supervision 
  • Ability to work under pressure and meet close deadlines 
  • Organizational skills, with the ability to manage multiple tasks simultaneously, and adapt to changing business requirements as necessary

Travel Requirements
  • Up to 5%, this may include travel to any or all 50 US states 
  • Travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees, meeting for business development purposes, running errands on behalf of the business, attending industry conferences, etc.

Education / Experience
  • A minimum of five years’ experience in administrative and contract-related roles within professional services, specifically in the engineering, construction or design industries.
