This is a remote position.

Schedule:

  •  Fixed Schedule 11:30 AM to 6:30 PM California time with 30 minutes unpaid break

Client Timezone: Pacific Time (PT)

Job Description

Take ownership of critical administrative operations in this dynamic role where you’ll directly impact student success through seamless coordination of educational services. As the primary point of contact between instructors and clients, you’ll leverage modern technology platforms to ensure smooth operations while maintaining high service standards. This position offers significant autonomy and growth potential, allowing you to apply your problem-solving skills and initiative in meaningful ways. You’ll work with industry-standard software solutions including Salesforce and Quickbooks, while contributing to marketing initiatives that help expand our educational impact.

Responsibilities
  • Serve as the primary point of contact for client and instructor communications via email, text, and phone
  • Orchestrate seamless scheduling of educational sessions and maintain efficient calendar management
  • Take ownership of real-time problem-solving for logistics and scheduling challenges
  • Process financial transactions and maintain accurate bookkeeping records
  • Execute targeted email marketing campaigns and manage social media presence
  • Coordinate supply chain management and inventory control
  • Navigate multiple software platforms including Salesforce, Quickbooks, and MindBody Online
  • Provide proactive support for instructors and clients during service delivery
  • Implement and maintain efficient administrative processes with minimal supervision
  • Respond immediately to new customer enquiries received either through our website or via phone
  • Assist in onboarding and offboarding staff
  • Process payroll through ADP and manage staff and taxing agencies
  • Provide montlhy reports on sales data including client/staff gains and losses


Requirements

  • 3-5 years of proven administrative experience in a client-facing role
  • Exceptional English communication skills with a focus on professional correspondence
  • Demonstrated proficiency in Quickbooks and Salesforce
  • Track record of independent problem-solving and proactive decision-making
  • Strong customer service orientation with a focus on positive outcomes
  • Experience managing multiple priorities in a fast-paced environment
  • Professional home office setup with reliable high-speed internet connection
  • Quiet, distraction-free work environment
  • Ability to maintain consistent availability during Pacific Time business hours
  • Experience with educational or service-based organizations preferred
