Summary:

The Relocation Manager (RM) is responsible for managing the process of moving a High School Program (HSP) participant from their current U.S. host family placement to a different placement. This includes tracking the relocation, coordinating with the Program Support team, Local Coordinators (LCs), host families, and schools involved and working to execute the relocation in a timely manner, providing progress updates to all stakeholders. The Relocations Manager is expected to work collaboratively with stakeholders involved in a relocation, helping to  gather and analyze moves and relocations data, identify trends, suggest process improvements,  and help train program staff and stakeholders. The Relocations Manager will also be responsible for helping to ensure program quality and compliance with Greenheart and the U.S. Department of State (DOS) rules and regulations.

Requirements, qualifications and skills:

  • Bachelor’s degree or equivalent experience highly preferred.
  • Experience in program coordination, student exchange programs, or non-profits preferred.
  • Familiarity with U.S. Department of State regulations regarding exchange programs strongly preferred.
  • Excellent written and verbal communication skills.
  • Ability to manage relocation cases from start to finish, including placement coordination, documentation, and stakeholder follow-up.
  • Confident in public speaking and delivering presentations to various stakeholders.
  • Professionalism – approaching others with consideration, tact, compassion and willingness to listen and understand 
  • Adaptability – being flexible and able to adjust to changes in the work environment, processes and approach
  • Computer Skills: Microsoft Suites (Word, Outlook, Excel, SharePoint, Teams)
  • Experience creating social media content or recruitment campaigns to support host family recruitment and relocation outreach.

Responsibilities:

  • Manage the end-to-end relocation process for High School Program (HSP) participants, including identifying new host families, schools, and Local Coordinators.
  • Coordinate with Program Support, Compliance, and Field Leadership teams to ensure timely and compliant relocations.
  • Support the identification and maintenance of a network of backup host families for emergency relocations.
  • Communicate with host families, students, LCs, schools, and Greenheart staff to ensure smooth relocation execution.
  • Provide training and resources to staff, host families, and other stakeholders on relocation processes and best practices.
  • Perform general administrative duties such as answering phones, updating records, and supporting new system testing.
  • Support recruitment and community engagement through targeted social media content, digital campaigns, and outreach efforts in collaboration with field staff.
  • Represent Greenheart at conferences and external meetings, build relationships with stakeholders, and deliver presentations to promote program understanding and support.
  • Other duties as assigned
