This is a remote position.
We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support the CEO in managing two dynamic businesses — one in residential construction and the other in ecommerce. This role requires a flexible multitasker who can handle administrative, financial, and operational duties with professionalism, discretion, and a high level of initiative. You will serve as the CEO’s right hand, ensuring both companies run smoothly and efficiently.
Manage the CEO’s calendar across both businesses, including scheduling appointments, meetings, and travel.
Prepare materials for meetings, take detailed notes, and track action items and follow-ups.
Handle financial administration such as organizing receipts, invoices, and performing basic bookkeeping.
Oversee project timelines and deliverables using project management tools like Microsoft Planner or Trello.
Draft, respond to, and manage email and other communications on behalf of the CEO.
Coordinate travel arrangements and manage related expense reports.
Maintain organized digital and physical filing systems for easy access to important documents.
Act as a liaison with clients, vendors, contractors, and internal team members in a professional and efficient manner.
Provide personal support to the CEO as needed, including running errands and managing personal tasks.
Conduct research, compile data, and prepare reports and presentations.
Maintain strict confidentiality and exercise sound judgment in handling sensitive information.
Proven experience as an Executive Assistant or in a similar administrative role.
Strong project management and coordination skills.
Exceptional organizational, multitasking, and time-management abilities.
Excellent verbal and written communication skills.
Working knowledge of bookkeeping and financial documentation.
Proficiency in MS Office Suite and Google Workspace.
Experience using project management tools such as Microsoft Planner or Trello.
Ability to prioritize tasks, solve problems independently, and adapt to changing demands.
High level of discretion and professionalism.
Experience in the construction or ecommerce industries.
Familiarity with Houzz Pro project management software.
Demonstrated ability to thrive in a fast-paced, growing business environment.
Bachelor’s degree (preferred but not required).
