Job description

This is a remote position.

Schedule: Flexible during client business hours, Crows Nest time (Australia Eastern Time, Melbourne/Sydney)
Total weekly hours: Approximately 20 hours/week with on-call availability
Compensation: Flexible hours (i.e., work 20 hours but be paid for 40 hours)


This is a unique opportunity to play a pivotal role in a dynamic, fast-growing retail operation while enjoying the flexibility of remote work. As an Operations & Talent Coordinator, you'll directly support the company directors in managing their retail workforce across multiple locations. While compensated at full-time rates, this position typically requires about 20 hours of actual work per week, with the flexibility to handle tasks primarily via mobile phone and computer. You’ll be instrumental in building and maintaining the teams that bring joy to thousands of customers, while having the opportunity to grow with a company that’s rapidly expanding into new markets and product lines.

Responsibilities
  • Drive the end-to-end retail recruitment process

    • Create and post compelling job advertisements

    • Screen resumes and identify top candidates

    • Coordinate with directors on final selection

  • Manage staff scheduling and communication

    • Coordinate rosters across multiple retail locations

    • Handle real-time shift coverage needs via WhatsApp

    • Respond promptly to staff inquiries and concerns

  • Oversee customer experience and digital presence

    • Manage customer inquiries through email and Instagram

    • Update website content weekly with new product information

    • Ensure consistent communication across all channels

  • Support business operations

    • Create and maintain training documentation

    • Coordinate facility maintenance when needed

    • Assist directors with special projects and expansion initiatives

    • Help develop and implement new operational procedures



Requirements

Essential Skills:

  • Proven experience in recruitment or HR administration

  • Outstanding written and verbal communication skills

  • Strong problem-solving abilities and proactive mindset

  • Excellent organizational and time management skills

  • Proficiency with mobile technology and messaging platforms

  • Comfort with flexible working hours and on-call availability

  • Experience with social media management

  • Ability to work independently while supporting a team


Additional Requirements:
  • Must be comfortable with Australian time zone operations

  • Available for brief Sunday evening or Monday morning website updates

  • Capable of managing multiple priorities in a fast-paced environment

  • Japanese language skills appreciated but not required

  • Previous retail or hospitality industry experience a plus
