Virtual Rockstar is hiring a highly organized and detail-oriented Medical Virtual Assistant to support our client, MAXX Therapy, a leading physical therapy clinic based in Louisiana. This fully remote, full-time contract position is ideal for a candidate who thrives in a structured, high-performance environment and has experience in medical administrative support.

As a Virtual Assistant, you will play a vital role in enhancing operational efficiency, supporting clinical documentation, and ensuring patients receive timely and exceptional care.

Responsibilities

You will function as an extension of the front office and administrative team, with duties that include:

Administrative Intake and Scheduling

  • Review and process incoming faxes and patient referrals

  • Gather patient demographic and referral details

  • Schedule new evaluations and follow-up visits

  • Send and track completion of intake paperwork

  • Call to confirm appointments with new patients

Communication and Coordination

  • Communicate with insurance authorization teams, assist as needed

  • Coordinate tasks using Microsoft Teams

  • Assist with answering overflow calls and basic billing inquiries

Clinical Documentation and Compliance

  • File Plans of Care and update EMRs accurately

  • Run reports to track overdue notes and recertifications

  • Respond to medical records requests in compliance with HIPAA

Workflow Optimization

  • Develop and maintain Standard Operating Procedures (SOPs)

  • Audit charts for accuracy and documentation completeness

  • Monitor accounts for discrepancies or missing information

File and Data Management

  • Organize and categorize incoming documentation in patient charts

  • Maintain accurate, timely, and compliant records in the EMR system

Tools and Platforms Used

  • Empower EMR, Clinicient, FOTO

  • Microsoft 365 (Teams, Excel, Word, Outlook)

  • Nextiva, QuickBooks, Canva, Comprehend AI, ChatGPT

  • MedBridge and other clinic support tools



Requirements
  • Experience in medical administrative support, ideally in physical therapy or outpatient settings

  • Proficiency in using EMRs, Microsoft Office, and cloud-based communication tools

  • Knowledge of HIPAA and healthcare documentation practices

  • Strong organizational and time management skills

  • Clear and professional verbal and written communication

  • Available to work full-time during U.S. business hours (Central Standard Time)
