As a result of continued growth, and the strategic requirement to co-ordinate, manage and submit high quality bids, we are seeking to recruit a Bid Project Manager, reporting into the Chief Sales Officer.
We are looking for an individual who has exceptional organising, planning and co-ordinating skills, who will manage our broad array of bid templates and content and support the sales team in submitting high quality bids in a timely manner.
Responsibilities
The Bid Project Manager is responsible for coordinating, managing, and delivering efficient logistical support throughout the bid preparation and submission processes. Reporting directly to the Chief Sales Officer and indirectly to the Sales Manager, this role focuses exclusively on project management and administrative tasks associated with bid activities, ensuring timely and accurate coordination, submission of bids and tenders.
- Coordinate bid production timelines, ensuring all deadlines are met.
- Manage bid schedules, creating and maintaining bid project plans.
- Track bid progress and promptly communicate any issues or risks to the Chief Sales Officer and Sales Manager.
- Organise bid kick-off meetings, status updates, reviews (technical and commercial), under guidance from the Chief Sales Officer and Sales Manager.
- Maintain and update the bid library, ensuring resources are current, accessible, and high quality.
- Collate, proofread, and ensure the professional presentation of all bid documentation.
- Ensure compliance with all required bid terms, guidelines, and regulatory standards.
- Provide logistical and administrative support during the contract negotiation and handover phases.
- Regularly produce activity and pipeline status reports for review by the Chief Sales Officer and Sales Manager.

Requirements
- Proven experience in a bid or project coordination role, preferably within ICT or education sectors.
- Excellent project management and organisational skills.
- High attention to detail, particularly in written communication and document presentation.
- Excellent written and verbal communication skills.
- Proficient in managing multiple concurrent projects and deadlines effectively.
- Collaborative and proactive with strong interpersonal skills.
- Proficiency with Microsoft Office Suite.
- Familiarity with bid portals and document management systems.
- Ability to operate autonomously within defined frameworks and escalate appropriately.
- Ability to work under pressure to tight deadlines.
- Skilled in stakeholder management and cross-functional team collaboration.
- Understanding of public and/or private sector procurement processes (OJEU, frameworks, etc.).
- Minimum 3 years of project management experience; ideally with exposure to bids, proposals, or tendering processes.
- Relevant project management qualifications or equivalent experience desirable.
