Key responsabilities:

  • Process transactions by matching receipts to QuickBooks Online expenses.
  • Reconcile bank and credit-card accounts to monthly statements.
  • Produce monthly management reports including Profit & Loss and Balance Sheet.
  • Conduct regular check-ins and meetings to review reports and clarify items.

Job description

This is a remote position.

Expected working schedule or hours

  • Flexible, outcome-based: Work can be done at any time that suits you.

  • Turnaround deadlines:

    • Upload and code new transactions within 3 business days of receipt or bank-feed entry.

    • Deliver draft month-end reports by the 7th calendar day of the following month.

  • Meetings:

    • Weeks 1-4: one 30-minute check-in per week to get onboarded, fix past issues.

    • After Week 4: approximately one 30-minute meeting per month to review the reports.


Roles and responsibilities

  • Transaction processing

    • Match emailed or forwarded receipts to the correct QuickBooks Online (QBO) expenses.

    • Code every expense and deposit to the proper category or class.

    • Attach supporting documents inside QBO for audit readiness.

  • Revenue reconciliation

    • Match customer invoices to incoming payments; flag any variances.

  • Bank and credit-card reconciliation

    • Reconcile all cash, credit-card, and PayPal accounts to monthly statements; clear every transaction.

  • Month-end close

    • Review uncategorized or suspense items and request clarification once per week.

    • Post adjusting journal entries (depreciation, accruals, owner draws, etc.) as needed.

    • Lock the period after approval.

  • Reporting

    • Produce and deliver a monthly management packet—Profit & Loss, Balance Sheet, and Statement of Cash Flows—with a one-page highlights summary.

  • Communication



Requirements

Required skills, tools, and qualifications

  • Skills & experience

    • Proven small-business bookkeeping experience (3 + years preferred).

    • Solid grasp of U.S. GAAP for cash-basis and modified-accrual accounting.

    • Track record of clean, on-time month-ends.

  • Tools

    • Advanced user of QuickBooks Online, including receipt capture and bank-feeds.

    • Comfortable with Google Workspace and basic Excel/Sheets functions (pivot tables, lookups).

    • Familiarity with Dext or similar receipt-management software is a plus.

  • Professional standards

    • Certified QuickBooks ProAdvisor or equivalent credential preferred, but not required.

    • Responsive communicator (acknowledge emails within one business day).
