Job description

This is a remote position.

Schedule

  • 40 hours per week
  • Monday - Friday 8am - 5pm with 1 hour unpaid break (8 paid hours per day) CST
  • Client Timezone: Baton Rouge, LA

Responsibilities
Calendar & Communication Management
  • Manage and schedule meetings and calls
  • Send reminders and follow-ups to clients
  • Screen and respond to emails
  • Draft and send routine communications (e.g., client check-ins, deadline reminders)
Client Support & Admin Tasks
  • Onboard new clients: send welcome emails, collect intake forms, and ensure documents are uploaded
  • Maintain client portals (like TaxDome, Keeper, or Canopy)
  • Update and manage CRM records
  • Collect missing documents or follow up on outstanding items

Internal Organization & Process Support
  • Update SOPs or task management boards (like ClickUp, Asana, or Trello)
  • Keep templates (emails, checklists, engagement letters) organized and up to date
  • Help build out workflows or automations in client management systems
Document Management
  • Request, sort, and rename client files
  • Save PDFs and supporting docs in structured cloud folders (Google Drive, Dropbox)
  • Ensure all files are backed up and organized
Special Projects (as needed)
  • Research tools or vendors
  • Set up integrations between apps (e.g., QBO + Keeper + Slack)
  • Track key performance indicators (KPIs) or weekly business metrics
  • Help with social media posts, newsletters, or marketing if relevant


Requirements
  • Proficiency in Google Workspace (Drive, Gmail, Calendar) with a strong ability to organize digital files and manage communications effectively
  • Basic understanding of bookkeeping principles and enthusiasm to expand knowledge in this area
  • Exceptional organizational skills with a proven ability to manage multiple tasks and priorities simultaneously
  • Strong written and verbal communication abilities, capable of interacting professionally with clients and stakeholders
  • Demonstrated aptitude for quickly learning and adapting to new software systems and technologies
  • Experience with or keen interest in learning QuickBooks for financial task assistance
  • Familiarity with practice management software is a plus, but not required – willingness to learn is essential
  • Self-motivated with the ability to work independently in a remote setting while maintaining consistent communication
  • Flexibility to adjust working hours as needed, especially during peak tax season
  • Discretion and confidentiality when handling sensitive financial information
