Key responsabilities:

  • Support and optimize the vehicle maintenance process and review maintenance estimates.
  • Coordinate emergency vehicle order requests and assist field personnel with documentation.
  • Track and reconcile vehicle orders, providing delivery ETAs and managing compliance requests.
  • Support processing of accident claims, vehicle terminations, and manage open vehicle rentals.

This individual will play a key operational role in ensuring day to day requirements are supported to optimize up time for the North American fleet of vehicles.  The Fleet Commodity Associate will work with the Fleet Commodity Manager, field operations and local business units to identify their escalation needs and to help facilitate the relationship between the service supplier and field personnel/management..

The candidate will be expected to lead, coordinate, and drive closure to requests for day-to-day support, with the end goal to close gaps in process and improve overall customer satisfaction and reduce intervention of field supervision.

What you'll do:

  • Support and optimize vehicle maintenance process.
  • Review maintenance estimates to determine validity of pricing and level of repairs. Reviewing high dollar repairs with Fleet Manager and/or GMs.
  • Support for emergency vehicle order requests from field.  Reviewing documentation and assisting field to complete all necessary information.
  • Reconciliation of orders and following up on order progress and exceptions.  Providing delivery ETA as requested by field. 
  • Support field requests for vehicle documentation; registrations, decals, plates, insurance verification, fuel cards, PINs and DOT compliance and other miscellaneous items. 
  • Following up with the fleet managing company to produce missing items and establishing reasonable ETA and arranging delivery of completed documentation to field.  Tracking request compliance.
  • Support update and extension of open vehicle rentals as well as field requests for in-fleet vehicle moves from branch to branch.
  • Support and track processing of accident claim requests, vehicle terminations and disposals.
  • Ability to participate in annual inventory
  • Ability to adhere to OTIS three Absolutes SAFETY, ETHICS and QUALITY

What You Will Need to be Successful:

  • BA or BS required, preferably in Business Administration / Supply Chain Management or Finance.  
  • Master’s Degree a plus.
  • 3 years of experience in a supply chain management function. Vehicle fleet management experience preferred
  • Strong ability to drive continuous improvement and deliver to customer expectations.
  • Ability to manage multiple tasks and have superb follow up skills.
  • High degree of initiative and self-starter is a must.  
  • Ability to work independently and to lead process improvements required.
  • Excellent communication, presentation, and analytical skills
  • Advanced Excel user with expertise in Pivot Tables, VLOOKUP, and creation of cost analysis tables
  • Understanding of automotive/fleet management programs, financial analysis and workflow mapping preferred.
  • Must have strong competency in managing service providers to engage and drive optimization of value proposition.
  • Must be able to identify and monitor supplier’s continuous improvement plan within their business or enhance their existing continuous improvement initiatives.
  • Strong ability to take ownership and accountability for improving field and service provider communications.
