Job description

Schedule: Monday- Friday (07:00 AM-11:00 AM PHT)

What are we looking for?

Skills Required:

  • Previous experience in appointment setting/scheduling
  • Excellent communication skills, both verbal and written.
  • High attention to detail
  • Previous experience in Data Entry
  • Ability to contribute to Business Improvement

What will you do?

  • Cancellations: Monitor daily requests to cancel sessions, ensuring adequate follow-up and conversion to an alternative option (e.g., rescheduling, telehealth, longer follow-up session, additional session in school holidays).
  • Follow up with the admin/therapy team if no action has been taken.
  • Unplanned Therapist Absences: Review Slack and Cliniko to determine therapists who are absent each day and action necessary follow-ups. Report any issues to leadership.
  • Indirect List Management: Ensure indirect therapy lists are implemented for each therapist and monitor for missed opportunities to contact priority clients.
  • Provide weekly reports on planned and actual bookings, including analysis of reasons why some sessions did not go ahead.
  • Work closely with the clinical team to ensure they feel supported and to avoid overwhelm.
  • Collaborate with the Clinical Lead on waitlist management and client allocations.
  • Seek and monitor client feedback to ensure consistent high satisfaction, particularly regarding communication and support from the Admin team, especially the scheduler.
